Build a shift scheduling and rotation system
Kliv is an AI app builder. Describe the rota rules you need, and it builds a shift scheduling system that checks licenses, rest gaps, swaps, open shifts, and hours.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a rota product you sign up for and configure — it’s an AI that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the data, the rules, the screens, and the workflows. What you get is a real app that’s yours. You can run it on your own accounts, use it with your own domain, and change it later by asking. It isn’t a template with your name on it.
On this page, that app is a shift scheduling and rotation system. Kliv builds all kinds of web apps; workforce scheduling is one example, and that’s what the rest of this page covers.
Why build your own rota system?
A spreadsheet rota can look correct while breaking rules. A guard with an expired license can still appear on a night shift. A double-back can violate the rest rule. A swap agreed by text can miss the supervisor who has to approve it.
Kliv builds the rota as software that knows your rules. Certifications, rest minimums, site requirements, swap approvals, and hour caps are checked when the schedule is written. If an assignment is not allowed, it does not save.
What the rota enforces
Five kinds of records keep the schedule honest.
Sites and posts
Each site keeps its posts, shift times, and required certifications. An armed post can require an armed license; a hospital site can require its induction.
Guards and credentials
Every guard has license records with expiry dates. An expired credential blocks assignment for that shift date, and reminders can warn the guard and office before renewal becomes urgent.
The rota
Rotations, rest gaps, and weekly hour caps are checked while the draft is built. The schedule that publishes is the schedule that passed those rules.
Swaps and coverage
A swap needs both guards and a supervisor. Until all approvals exist, the rota stays unchanged. Once approved, the site view and both guards’ schedules update from the same record.
Hours as they happen
Clock-ins attach to scheduled shifts. Late starts, missed punches, and unplanned overtime become exceptions to review before payroll.
An example: Nadia’s security company
Here’s how one security company might use it. It’s only an example — you would describe your own sites, staff, and rules.
The next rota drafts within the rules
Nadia drafts next month across twelve sites. Each assignment checks licenses, rest gaps, and hour caps as it is placed, so the draft is legal before review.
A swap waits for the right approvals
Two guards want to trade Friday nights. Both confirm in the app, the supervisor approves, and then the rota, site view, and phones update together.
Expiring licenses are found early
A nightly check finds a guard card expiring in 28 days and emails the guard and the office. The renewal becomes scheduled work instead of a surprise at the gate.
An open shift goes to qualified people
A sick call opens tonight’s warehouse shift. Only guards qualified for that site and legal for those hours get the email. The first approved acceptance fills the rota.
Payroll starts from confirmed hours
On Sunday, confirmed hours, night differentials, and approved overtime export in one pass. Payroll starts from records, not from reading a grid.
Describe the rota you need
Kliv builds from your description, so the more detail you give, the closer the first version. Spell out sites, shifts, licenses, rest rules, approvals, and exports. Here are three to build on:
Security site rota
Licenses, rest gaps, swaps, and open shifts.
“Build a scheduling app for my security company with twelve sites, day and night shifts, armed and unarmed post requirements, license checks that block expired guards, a 10-hour rest minimum, swap requests that need both guards and a supervisor, and open-shift emails to qualified staff.”
Hospitality rotation
Two locations, staff availability, and weekly publishing.
“Build a staff scheduling app for two restaurant locations with morning and evening shifts, staff availability submitted by Sunday night, manager approval before publishing, and a weekly rota emailed to everyone every Monday at 9 a.m.”
On-call engineering
Primary, secondary, overrides, and notifications.
“Build an on-call rotation app with weekly primary and secondary engineers, automatic Monday handoff, override swaps that require team-lead approval, and a Slack post whenever the rotation changes.”
How the rules hold
The checks happen where schedules are saved. Rest gaps, hour caps, and credential rules run when a rota row is written. The same rule applies no matter which coordinator is working.
Each person sees the right slice. Guards can see their own shifts, open shifts, and their own hours. Supervisors can see their sites. The office can see everything. Pay fields stay scoped to the people allowed to read them.
Reminders and alerts run on schedule. The app can publish reminders, run license checks, send next-week summaries, and alert qualified people when coverage breaks.
You can test the rules before using them. Ask Kliv for a scenario that tries to roster an expired license against a throwaway copy of the database. The run shows the write was rejected and why.
Scheduling is often the first internal tool a company builds. Once the rota stops hurting, ops teams can build other tools the same way.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe the app you need, it builds the working software, and you own the result. For scheduling, that means a rota system built around your shifts, rules, people, and approvals.
Do I get a real app, or a template?
A real app. Kliv builds the data, rules, and screens for your scheduling process. It is not a blank rota template you fill in.
Can I change it after it’s built?
Yes. Ask for changes in plain words. You can add a new license type, change rest rules, add a site, or change an approval step without starting over.
What stops an expired license from being scheduled?
The assignment cannot save when the required credential is expired for that shift date. You can also run reminders ahead of expiry, so most problems are caught before scheduling.
How do swaps work?
A swap is its own record. Both guards confirm, then a supervisor approves. The rota changes only after the approvals exist.
Can guards see each other’s schedules?
You choose the visibility. A guard can see only their own shifts, a site roster, or an open-shift board. Pay-related fields can stay private.
Does it handle nights, differentials, and overtime?
Yes. Shift definitions can carry differentials, weekly caps can count swaps, and overtime can queue for review before export.
Can it send open-shift alerts?
Yes. When a shift opens, the app can email or notify only the people qualified for that site and legal for those hours.
Can it export hours for payroll?
Yes. Confirmed hours, differentials, and approved overtime can export together at the end of the week.
Can different supervisors manage different sites?
Yes. Site supervisors can be scoped to their own locations, while the office keeps the full view.
Can I use my own domain?
Yes. The app can run on your own domain, and staff can sign in there.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.
