Build an employee onboarding and offboarding tool

Kliv is an AI app builder. Describe your employee onboarding and offboarding process, and it builds a real app for role checklists, access ledgers, equipment, check-ins, and leaver files on your own domain.

What is Kliv?

Kliv isn’t a checklist template library — it’s an AI that builds software for you.

You describe the app you need in plain words, and Kliv builds it: checklist templates, access records, equipment logs, reminders, approvals, private notes, and reports. You own the result, run it on your own domain, and change it later by asking. It isn’t a form pack.

On this page, that app handles both ends of employment: the first day and the last day. Kliv builds all kinds of web apps; this is one example.

Why the last day matters as much as the first

A smooth first day matters. A messy last day can cost more: a carrier portal login that remains active, a laptop that never comes back, or an audit question with no clean answer. Onboarding gets attention, but offboarding is where risk often sits.

Kliv builds both ends as one system. Role-based checklists prepare the start, an access ledger records every grant, and the leaver process reads that same ledger backwards so every grant is revoked and every serial is accounted for.

Two checklists and three ledgers

Employment becomes records that can be assigned, checked, and closed.

Role templates

Each role has its own checklist template. A new hire gets tasks, owners, and due dates relative to their start date.

The access ledger

Every grant is a row: system, person, approver, and date. Offboarding reads the same ledger backwards, so nothing granted can be forgotten.

The equipment log

Serials out and serials home. A laptop still in the field blocks the leaver file from closing until it is returned or written off.

Check-ins

Thirty, sixty, and ninety days after the start, scheduled check-ins land on the manager’s list, and notes stay on the person’s record.

The leaver file

Revocations with timestamps, returns with signatures, and the final close signed by a person. Closed means there is evidence.

An example: Lidia’s insurance brokerage

Here’s how one company might use onboarding and offboarding built with Kliv. It’s only an example — you would describe your own roles, systems, equipment, check-ins, and exit rules.

01

A new hire starts before day one

A new customer service representative accepts the offer. Her onboarding checklist is created from the role template two weeks before she starts, so IT sees the laptop task early.

02

A leaver’s access list is already known

The same week, a producer retires after 19 years. His access ledger becomes the exit list: carrier portals, the agency management system, the door code, and each revocation that must be stamped.

03

The first morning is ready

The new hire’s badge works, laptop is signed out by serial number, logins are waiting, and a mentor is named. The checklist handled the arguments before the morning arrived.

04

Check-ins happen because the system asks

Thirty days later, a check-in appears on her manager’s list. Notes stay on her employee record, where the 60-day and 90-day check-ins will find them.

05

The leaver file proves it closed

At year end, an auditor asks about departures. Lidia opens the retired producer’s file and sees each grant matched with a stamped revocation and each serial returned or written off.

Describe what you want to build

Kliv builds from your description, so the more detail you give, the closer the first version. Name your roles, systems, due dates, equipment, access rules, and closure requirements. Here are three to build on:

kliv.dev

Onboarding checklist app

Role templates with owners and relative due dates.

“Build an onboarding tool where each role has a checklist template. A new hire’s checklist should create tasks with owners and due dates relative to the start date, and HR should see progress per hire and across the company.”

kliv.dev

Access and exit ledger

Grants recorded once, then read backwards for leavers.

“Build an access ledger that records every system grant per employee with system name, approver, approval date, and access level. Generate the exit list from that ledger and record revocation timestamps for carrier portals, internal systems, and door codes.”

kliv.dev

Equipment loan log

Serial numbers that must come home.

“Build an equipment log that tracks issued laptops, phones, badges, and monitors by serial number per employee, captures return signatures, and blocks offboarding completion until each item is returned or written off.”

The machinery both ends share

Scheduled jobs do the chasing. Checklist nudges, 30-60-90 check-ins, and weekly overdue summaries run on a schedule, so one person does not have to remember everything.

Sight lines are set by role. A manager sees their own reports’ checklist progress and check-in notes. IT sees tasks and serials, not salaries. HR-only notes are served only to HR roles.

Sign-in can be simple. Staff can sign in with Google, and two-factor can be required for roles that hold sensitive views.

Every employee meets this tool at least once; one team works in it daily. Internal tools with one careful owner is the pattern, and this is a build, not a purchase.

Common questions

What exactly is Kliv?

Kliv is an AI app builder. You describe the onboarding and offboarding tool you need, it builds the app, and you own the result.

Do I get a real app, or a template?

A real app. Kliv builds checklist templates, access ledgers, equipment records, scheduled reminders, role rules, and reports for your process.

Can I change it after it’s built?

Yes. Add a role template, change an exit step, add a system to the access ledger, or revise who can close a leaver file by asking in plain words.

Who still has access?

The ledger answers from live records: grants minus stamped revocations, per person and per system. The audit answer and the day-to-day answer come from the same table.

What about systems Kliv can’t reach?

A carrier portal revocation can be a human task. The tool assigns it, chases it on a schedule, and records who confirmed it and when. Where a system offers an API, a typed function can do it directly.

Can managers see everything about their people?

No. They see the checklist progress and check-in notes your rule gives them. Salary fields and HR-only notes can stay hidden at the row level.

Do template changes rewrite history?

No. Editing a role template shapes future hires. Past checklists stay as they ran, because history should show what happened.

Can equipment block offboarding completion?

Yes. You can require every issued serial to be returned or written off before the leaver file can close.

Can it schedule 30-60-90 check-ins?

Yes. Scheduled jobs create the check-ins, put them on the manager’s list, and keep notes on the employee record.

Can staff sign in with Google?

Yes. The app can use Google sign-in, and sensitive roles can require two-factor authentication.

Can I use my own domain?

Yes. The app runs on your own domain with the sign-in and access rules you define.

Can I move off Kliv later?

Yes. The code syncs to your own Git repository, so leaving is a git pull, not a rebuild.
