Employee & HR Management
Build a payroll and employee management system
Kliv is an AI app builder. Describe your payroll and employee management system, and it builds rosters, clock-ins, tip pools, premiums, statements, and export files around your rules.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a payroll bureau or a generic HR product — it’s an AI app builder that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the data, the rules, the screens, the employee pages, and the export. What you get is a real app that’s yours, on your own domain. You can change it later by asking for changes. It isn’t a template HR portal.
On this page, that app is for employee management and pay-run administration before payroll filing: rosters, clock-ins, tip pools, premium rules, statements, and payroll-provider exports. Kliv builds all kinds of web apps; this is one example.
Why build your own pay-run system?
Amir runs three cafés with forty hourly staff. Every second Friday, he has to reconcile rosters, clock-ins, swaps, tip pools, premiums, and employee questions before the payroll bureau can do its part.
Kliv builds the work before the bureau: rosters, clock-ins, tip rules, premium rules, employee statements, and the export. The numbers are computed by rules the crew can read, so payroll starts from records instead of arguments.
What the pay run reads
By the time pay is calculated, each input already exists as a record.
People and contracts
Each employee record holds role, wage rate, start date, signed contract, and certificates such as food-handler training with expiry dates.
Shifts and timesheets
Scheduled and clocked times sit side by side. Corrections keep who changed the row and why.
Tip pool
The house rules can be encoded: pooled per shift, weighted by hours and role, with kitchen share taken first. Staff can see the math behind their own number.
Premiums and overtime
Evening, weekend, and overtime rules apply from the stated policy, not from whichever manager closed that night.
Pay statements
Each fortnight can publish a per-person statement with hours, premiums, tips, and gross pay to the employee’s own page before money moves.
Payroll export
The payroll bureau or accountant gets one clean file. Filing and net pay stay with them; the inputs arrive itemized and already reviewed.
An example: Amir’s three cafés
Here’s how one employer might use it. It’s only an example — you would describe your own rosters, clock rules, tip formula, premiums, statements, and export format.
Managers publish one roster
Managers publish shifts for all three cafés. Staff request swaps in the app, and approved swaps update the roster instead of living only in group chat.
Clock-ins create the timesheet rows
Staff clock in and out from a counter tablet. A missed clock-out becomes an exception that day rather than a mystery two weeks later.
The pre-close report finds exceptions
Before close, the app lists missed punches, unapproved overtime, and shifts worked at the wrong café. Amir reviews rows, not forty full timesheets.
The tip pool shows its math
Tips split by the café’s formula: hours and role, kitchen share first. Every barista can open the calculation behind their own statement.
Statements and export use the same totals
Timesheets lock, statements publish to employee pages, and the export goes to the bureau with the same totals staff already saw.
Questions narrow to one row
When someone asks why a number changed, the statement shows the swapped Sundays and the premium attached to them.
Describe the employee system you want
Kliv builds from your description, so the more detail you give, the closer the first version. Include sites, roles, clock rules, tip formulas, premiums, statements, and export needs. Here are three to build on:
Café tip pooling
Three sites, one pool, visible math.
“Build an employee management system for our three cafés. Staff clock in from a counter tablet, tips split each shift by hours and role with kitchen share taken first, overtime and weekend premiums follow our written rules, and every fortnight publishes per-person statements plus a CSV export for our payroll bureau.”
Warehouse shift premiums
Evening rates and approval-gated overtime.
“Build a workforce system for our warehouse where shifts carry evening and weekend premiums, overtime past 40 hours needs manager approval, missed punches become same-day exceptions, and each fortnight produces per-person statements and one export file.”
Seasonal staff onboarding
Contracts and certifications before stations.
“Build an employee management app for our seasonal hotel staff where each hire signs a contract in the app, certifications with expiry dates control which stations they can work, and HR sees who is cleared before the season opens.”
Between the clock and the bank
Payroll filing stays with the payroll provider. The app computes and publishes the numbers you need: hours, premiums, tips, and gross pay. The bureau still handles filing and net payment.
Pay data stays private. Each employee sees their own statements and hours. Managers see their café. The owner sees the group. Those boundaries apply to pages, exports, and searches.
Rules can change without rewriting history. If the staff meeting changes tip weights, the new rule can apply from a chosen date. Last fortnight’s statements stay as published.
Each person has one page. Statements, hours, contracts, and expiring certificates can sit behind sign-in with passkeys and two-factor.
Cafés rarely stop at the pay run. See what else teams run on systems of their own.
Common questions
What exactly is Kliv?
Kliv is an AI app builder that builds custom web apps from a description. For payroll administration, it can build rosters, timesheets, tip rules, premium rules, statements, employee pages, and exports.
Do I get a real app, or a template?
A real app. It is built around your sites, staff roles, clock rules, tip formula, premiums, and payroll-provider export.
Can I change it after it’s built?
Yes. You can change tip formulas, premium rules, approval flows, statement formats, and export fields later.
Does this pay my staff and file taxes?
No. It computes and publishes the numbers and sends a clean export to your payroll provider. Filing and net payment stay with the bureau.
Can employees see each other’s pay?
No. Each person sees their own statements and timesheets. Managers and owners see only what their roles allow.
Can unusual tip rules fit?
Yes. Weights, exclusions, kitchen percentages, event-night rules, and date-based changes can be described and applied.
Does scheduling live here too?
Yes. Rosters, swaps, clock-ins, exceptions, and timesheets can all feed the same pay run.
Can staff clock in from a tablet?
Yes. Staff can clock in and out from a counter tablet, and missed punches can become manager exceptions.
Can certifications control work assignments?
Yes. Certificates with expiry dates can sit on employee records and control which stations a person is cleared to work.
Can I use my own domain?
Yes. The employee app can run on your own domain.
Do I need a separate HR file store?
No. Contracts and certificates can live in the app’s file store, attached to each employee record.
