What is Kliv?

Kliv isn’t a generic expense app you have to force into your job-costing process — it’s an AI app builder that builds software for you.

You describe the tool you need in plain words, and Kliv builds it: the database, capture page, file store, coding rules, reconciliation screens, reports, exports, and permissions. You own it, run it on your own domain, and change it later by asking. It isn’t a template for uploading receipts after the fact.

On this page, that app is a receipt management and accounting tool. Kliv builds all kinds of web apps; this one is for businesses that need receipts tied to jobs before month end.

Why receipts die between the counter and the books

A painting contractor may have all the receipts and still lose the facts. Paper sits in pockets, vans, and washing machines. By month end, the surviving receipt may no longer say which job it belongs to.

Kliv builds the tool around capture at the counter. A crew lead photographs the receipt, enters amount and job, and the row becomes the record while the paper becomes backup.

Receipts, jobs, and the margin

A receipt is a fact about a job. These tables keep that fact where it belongs.

The receipt and photo

Amount, supplier, date, and the image are stored together, so the record survives even if the paper fades.

Jobs and cost types

Every receipt lands on a job and type such as paint, sundries, rental, or subcontractor. The job’s true cost updates while work is still happening.

Cards and crews

Each company card belongs to a crew, so an unclaimed charge already points to the responsible group.

Suppliers and statements

A monthly supplier statement uploads and matches line by line against receipt rows. Gaps become a short list.

Bid versus actual

Every job carries its estimate next to accumulated spend, so the next bid can start from the last job’s facts.

An example: Rosario’s painting company

Here’s how one business might use it. It’s only an example — you would describe your own crews, jobs, cards, cost types, and accounting export.

01

Receipts become records at the counter

Crew two buys forty liters of paint and a case of tape. The lead photographs the receipt, selects the job and cost type, and leaves the supply house.

02

The office sees spend immediately

Amount, supplier, job, cost type, photo, and crew appear in the office view right away, sorted by job instead of by paper pile.

03

Missing receipts surface while memories are fresh

When the card statement uploads, any charge without a matching receipt appears on that crew’s list at sign-in.

04

Supplier statements reconcile by line

The supply house statement uploads at month end and matches against receipt rows. Three unmatched lines become a short follow-up list.

05

The job closes with a believable margin

Hillcrest finishes 4% under estimate, and Rosario trusts the number because every liter and rental charge is in the job record.

Describe what you want to build

Kliv builds from your description, so the more detail you give, the closer the first version. Name your capture fields, jobs, cost types, cards, reconciliation process, reports, and export format. Here are three to build on:

Painting crew receipts

Counters, jobs, cost types, and supplier statements.

“Build a receipt tool for our commercial painting company. Crew leads should photograph receipts on their phones, code each receipt to a job and cost type, match company card charges to responsible crews, reconcile monthly supplier statements line by line, and show bid versus actual for each job.”

Field research expenses

Grant codes instead of jobs.

“Build an expense tool for our field research group. Researchers should photograph receipts in the field, code each one to a grant and budget line, attach location and project notes, and export categorized receipts with images for each funder’s monthly report.”

kliv.dev

Food truck fleet books

Markets, fuel, commissary, and weekly summaries.

“Build a receipt tracker for our three food trucks. Code receipt photos to truck, market date, and category such as fuel, commissary, ingredients, or repairs. Send weekly cost summaries per truck and export monthly records with images for the bookkeeper.”

Bookkeeping that starts in the parking lot

The capture page is part of your app. It runs in the browser on the phone the crew lead already has: photo in the file store, data in the database, no install.

Each crew sees its own trail. A lead can see their crew’s receipts and missing items without seeing the company’s full books. That boundary is a row rule.

The books stay explainable. Every number in the job report traces to a receipt, every receipt to an image, and every image to a person and day.

Office software often assumes paperwork starts at a desk. For crews, it starts at a counter. Internal tools that meet the work where it happens covers that wider pattern.

Common questions

What exactly is Kliv?

Kliv is an AI app builder. You describe the receipt management and accounting tool you need, and it builds the working app with capture, coding, reconciliation, reports, and exports.

Do I get a real app, or a template?

A real app. The jobs, cost types, crew rules, card matching, supplier statements, and exports are built around your business.

Can I change it after it’s built?

Yes. Ask for changes in plain words, such as adding a cost type, changing the export, or adding a crew approval step.

Do crews have to learn accounting?

No. The crew screen can be simple: photo, amount, job, and cost type. The office can own the accounting categories behind it.

What about receipts that still go missing?

The card statement is the safety net. Upload it, and every charge without a matching receipt appears on the responsible crew’s list.

Does this replace our accountant?

No. It replaces the messy envelope. The accountant can receive a clean export with categories and images attached.

Can it split a receipt across two jobs?

Yes. One receipt can be allocated to several jobs, and the app can require the allocations to add up to the printed amount.

Can supplier statements reconcile automatically?

They can be uploaded and matched line by line against receipt rows. Unmatched lines become a short review list.

Can each crew see only its own receipts?

Yes. Crew access can be scoped by row rules, so leads see their own receipts and gaps without seeing the full books.

Can I track bid versus actual?

Yes. Each receipt can land on a job and cost type, so the job report can compare estimate against accumulated spend.

Can I use my own domain?

Yes. The app runs on your own domain.

Can I move off Kliv later?

Yes. The code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.
