Build an approval workflow system
Kliv is an AI app builder. Describe your approval workflow management rules — thresholds, routing, delegations, Slack approvals, reports, and audit trail — and it builds the app.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a workflow product with fixed steps — it’s an AI that builds software for you.
You describe the app you need in plain words, and Kliv builds the database, logic, screens, integrations, and rules. You own the result, run it on your own accounts, and can change it later by asking. It isn’t a template queue.
On this page, that app is an approval workflow system. Kliv builds all kinds of web apps; this one routes requests, records decisions, handles delegation, and keeps an audit trail.
Why approval flows die in email
A purchase request has an amount, a cost center, a quote, and a rule about who must approve it. In many companies it becomes an email thread, and the decision is hard to prove later.
Kliv builds the approval system around your rules. Requests, routing, decisions, delegations, and reports live in a database you own, so the answer to “who approved this?” is a record, not a search through email.
The records an auditor would ask for
An approval system has to prove what happened later. These records do that.
Requests
Each request carries item, amount, cost center, and quote attachment in the file store.
Routing rules
Under €500, the supervisor. €500 to €5,000, the department head. Above that, finance and the site manager. The rule version that routed the request stays with it.
Decisions
Approve, reject, and return-for-detail decisions are rows with actor and timestamp.
Delegations
An approver can hand off a queue for a defined date range. Decisions made under delegation are marked that way permanently.
Visibility
Requesters see their own requests, approvers see their queues, and finance sees everything. Access is enforced by row rules.
An example: Elena’s parts manufacturer
Here’s how one manufacturer might use an approval system built with Kliv. It’s only an example — you would describe your own thresholds, categories, delegation rules, and audit needs.
A purchase request starts with the needed facts
A machinist requests a €3,800 spindle, adds the cost center, and attaches the supplier quote from the shop-floor terminal.
The amount chooses the route
€3,800 falls between the thresholds, so the request routes to the department head and then finance. The chosen chain is recorded with the request.
The approver acts from Slack
The department head sees the request in the approvals channel and approves it there. The app records the decision back on the request.
Delegation covers the controller’s leave
The finance controller is away, so the deputy holds the queue for the week. The approval is marked as made under delegation.
The request closes with a provable trail
The requester is emailed, the purchase-order number is issued, and the rules, actors, timestamps, and quote are all in one record.
Describe the approval rules you want
Kliv builds from your description, so include amounts, categories, approvers, delegation, attachments, notifications, and reports. The more detail you give, the closer the first version.
Purchase approvals
Amount thresholds, cost centers, and attached quotes.
“Build a purchase approval workflow. Requests under €500 go to the supervisor, €500 to €5,000 go to the department head, and anything above €5,000 goes to finance plus the site manager. Require quote attachments, track cost centers, support vacation delegation, and email a monthly spend report by department.”
Expense sign-off
Receipt photos, manager queues, and finance export.
“Build an expense approval app where staff photograph receipts, managers approve from a queue, expenses over €1,000 also require finance, and approved expenses export to a monthly ledger with employee, category, VAT, and receipt link.”
Drawing release control
Design and quality sign off before release.
“Build an engineering document release workflow where each drawing needs design and quality sign-off before it becomes the released revision. Keep old revisions read-only, record who approved each transition, and notify Slack when a drawing is released.”
How it comes together
Rules can change. Thresholds, categories, and approval chains are data you edit. If the policy changes, you can describe the change and Kliv updates the app.
Slack is a working surface. The app can post pending requests to Slack and record approvals back into the database. Credentials live in the platform’s vault, not in the code.
Self-approval can be tested. Kliv can run a Scenario where a requester tries to approve their own €3,800 request and verify that the attempt is refused.
Cycle time is measurable. Time-to-decision per approver, returned requests, and spend by cost center can be reported from the same rows.
Approval workflows often lead to more internal tools; the internal-tools page follows that pattern.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe your approval rules, and it builds a real app for requests, routing, decisions, delegation, reports, and audit trails.
Do I get a real app, or a template?
A real app. Your thresholds, categories, approver chains, visibility rules, and reports are built into the database and screens.
Can I change it after it’s built?
Yes. You can change thresholds, approvers, categories, Slack channels, reports, or delegation rules by asking.
Can history be edited after the fact?
No. Decisions are append-only records with an actor and timestamp. A correction is a new record that references the old one.
What happens when an approver is away?
Delegation records cover a defined start and end date, and decisions made under delegation say so.
Do rule changes affect requests already in flight?
They do not have to. By default, a request can keep the route it was assigned under, with that rule version stored on the request.
Can approvers act from Slack?
Yes. The app can post pending requests to Slack and record the action back into the approval trail.
How do approvers sign in?
With accounts in your app: email and password, Google sign-in, passkeys, and two-factor if you want them.
Can requesters see other people’s requests?
Only if you allow it. The usual setup is requesters see their own requests, approvers see their queues, and finance sees everything.
Can I use my own domain?
Yes. The app can run on your own domain.
Can I move off Kliv later?
Yes. The app’s code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.

Stop approving things by forwarding them
Describe the thresholds, approval chain, delegations, and reports the way you would explain them to a new hire. Kliv builds the workflow from that description.
