Build a procurement and vendor management tool
Kliv is an AI app builder. Describe the procurement and vendor management tool you need — requests, thresholds, vendor paperwork, RFQs, receiving, and audit trails — and it builds it.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a procurement suite made for a large department — it’s an AI that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the database, workflows, screens, approvals, notifications, and reports. What you get is a real app that’s yours. You can change it later by asking for changes and run it on your own domain or private app URL. It isn’t a template.
On this page, that app is a procurement and vendor management tool. Kliv builds all kinds of web apps; this one is for internal policy that needs to be enforced by the workflow.
Why build your own procurement tool?
Procurement policy often lives in PDFs, inboxes, and spreadsheets. That is how a $7,000 purchase gets one approval instead of two, or a vendor certificate expires months before anyone notices.
Kliv builds the company’s actual policy as software: requests, thresholds, budget lines, vendor files, approvals, and receiving in one system. The rule is checked by the workflow, not by someone remembering the policy.
The records that make policy real
Six objects carry the rules they enforce.
Purchase requests
Each request stores who wants what, from which vendor, against which budget line, and by when. A request without a budget line does not submit.
Thresholds and approvals
Under $1,000 might need a manager click; over $5,000 can require two named approvers. The request cannot reach ordered without them.
Vendors and paperwork
Each vendor stores terms, contacts, and certificates with expiry dates. A vendor with lapsed insurance can be blocked from new POs.
Quotes side by side
An RFQ collects vendor quotes on one screen: price, lead time, and terms. The chosen quote becomes the PO with its reasoning attached.
Receiving
Goods are checked against the PO line by line. Short shipments are flagged, and the mismatch email can spell out the difference.
The contracts assistant
Upload vendor agreements once. A question like “What’s our notice period with Meridian Packaging?” can be answered from your own contracts with the clause cited.
The parts that keep it moving
Approvals where approvers work
A request can ping Slack; the approval click acts in the app and is recorded there.
Expiries on a schedule
A nightly job can scan certificates and contract renewals, then put anything inside 30 days into Monday’s email.
Visibility by role
Requesters see their own requests, managers see their team’s, and finance sees everything. Access is enforced by role.
Audit trail by construction
Every state change records who changed what and when. “Who approved this?” becomes a lookup.
An example: Dana’s outdoor-gear company
Here’s how one operations team might use it. It’s only an example — you would describe your own thresholds, departments, vendor rules, and receiving process.
A request starts with a budget line
A workshop lead requests a $7,000 laminator and selects the equipment budget line. The form will not submit without it.
The threshold requires two approvals
Because the amount is over $5,000, the request needs two named approvers. It cannot move to ordered with only a manager click.
Vendor paperwork is checked before the PO
The vendor record shows liability insurance expiring soon. Dana gets the alert before the PO, not months after the certificate lapses.
Receiving checks the order line by line
When the shipment arrives, receiving compares each line to the PO and flags anything short or wrong.
The audit trail answers later
At year end, finance can see who requested, who approved, which quote won, what arrived, and when each step happened.
Describe what you want to build
Kliv builds from your description, so include request fields, thresholds, approvers, vendor paperwork, notifications, receiving checks, and reports. Here are three examples:
Threshold approval flow
Policy as a workflow.
“Build a purchase request tool where orders under $1,000 need one manager approval, orders over $5,000 require two named approvals, each request carries a budget line, and approvers get Slack notifications with recorded approval clicks.”
Vendor compliance file
Certificates and contract renewals that expire loudly.
“Build a vendor management tool tracking vendor contacts, contracts, liability insurance certificates with expiry alerts 30 days before they lapse, and a block on new purchase orders for vendors with expired paperwork.”
RFQ comparison board
Three quotes and one decision record.
“Build an RFQ tool where I invite vendors to quote on a spec, compare price, lead time, and terms side by side, record the reason for the winning quote, and convert the winner into a purchase order.”
The load-bearing parts
The threshold is testable. A Scenario can sign in as a manager and try to move a $7,000 request through with one approval. The receipt shows the transition refused and why.
Policy can change without a rebuild. A new budget-line structure for the fiscal year can be described in conversation. Kliv updates the app and carries old history forward.
It’s yours in the literal sense. Requests, vendors, and audit trails are rows in your own database, and the app’s source syncs to your own Git repository.
Internal tools are where owning the software pays off fastest, because the software is your rules. The internal-tools page makes the wider case.
Common questions
What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. For procurement, it builds purchase requests, approval workflows, vendor files, RFQs, receiving checks, notifications, and reports around your policy.
Do I get a real app, or a template?
A real app. Your requests, vendors, approvals, certificates, POs, receiving records, and audit trail live in a database built for your company.
Can I change it after it’s built?
Yes. You can change thresholds, approver roles, vendor fields, RFQ steps, expiry alerts, or receiving rules by asking for changes.
Can approval rules differ by department or amount?
Yes. Thresholds can be data: by amount, category, department, or other rules you describe.
Do vendors get access?
If you want them to. A vendor sign-in can be scoped to that vendor’s own records, such as certificate upload, RFQ response, and PO view.
Does it do the accounting?
It stays the record for commitments: requested, approved, ordered, and received. Exports can carry clean data to accounting.
What stops people buying outside the tool?
No software stops a determined rogue card. The tool removes friction from the right path: quick requests, Slack approvals, and finance visibility.
Can it block expired vendor paperwork?
Yes. A vendor with expired insurance or missing documents can be blocked from new POs until the file is updated.
Can it notify approvers in Slack?
Yes. Approval notifications can go where approvers work, while the approval itself is still recorded in the app.
Can I use my own domain?
Yes. The tool can run on your own domain or a private app URL.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, and your procurement records are yours.
