Build a lab management and booking system
Kliv is an AI app builder. Describe your facility — instruments, training sign-offs, booking rules, grant codes, rates, and statements — and it builds the system.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a generic scheduling tool — it’s an AI that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the database, the booking rules, the screens, the access checks, and the statements. What you get is a real web app that’s yours, on your own domain, and you can change it later by asking. It isn’t a calendar template.
On this page, that app is a lab management and booking system. Kliv builds all kinds of web apps; this one is for shared facilities where training, instruments, labs, and money all matter.
Why a lab is not a conference room
A shared instrument calendar has prerequisites. Nobody should book the ultracentrifuge without a documented sign-off. Every hour may belong to a grant code. A service contract can block the third Tuesday of the month.
Kliv builds those rules into the booking system. The instrument roster, training records, recharge rates, labs, grant codes, and reservations are rows in the same database, so the calendar only offers slots that the user is allowed to book.
Instruments, sign-offs, and the ledger
A shared instrument is a set of rules. These records keep them.
The instrument roster
Each machine has rates, minimum booking blocks, after-hours policy, and service windows when it belongs to the vendor.
Training sign-offs
A sign-off records who was trained, on which instrument, by whom, and when it expires. The calendar checks it before offering a slot.
The booking calendar
Reservations carry user, lab, grant code, and tier: daytime, after-hours, or assisted. Overlaps are refused by the system.
The recharge ledger
Every completed hour becomes a ledger line against a grant code. The monthly statement is a report over those rows.
Labs and members
Each PI’s group sees its own bookings, sign-offs, and charges. The lab down the hall stays outside the view.
An example: Corinna’s imaging core
Here’s how one facility might use a lab booking system built with Kliv. It’s only an example — you would describe your own instruments, training rules, rates, grants, and statements.
A student asks for access
A new PhD student requests the flow cytometer. The system opens a training request, not a booking. Until sign-off exists, the calendar has no slot to offer her.
Training changes what she can book
Corinna records the sign-off with instrument, date, trainer, and expiry. The calendar now shows the cytometer to that student.
The booking carries the grant code
The student books two daytime hours and chooses from her lab’s registered grant codes. The rate comes from the instrument record.
A no-show applies the same policy
When she forgets a session, the unused block releases on schedule, the lapse is noted, and the facility’s no-show rule applies.
Statements write themselves
On the first of the month, each PI gets a statement of their group’s hours and charges, generated from the ledger by a scheduled job.
Describe the facility you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Say which instruments you manage, who can book, what training is required, how rates work, and what statements should show. Here are three to build on:
University imaging core
Training gates, grant-code recharges, and statements.
“Build a booking system for a microscopy core. Each instrument should have training requirements, daytime and after-hours rates, service blocks, and minimum booking windows. Users should only book instruments where they have current sign-off, completed hours should post to grant codes, and each lab should receive a monthly statement.”
Departmental equipment pool
Reservations, checkouts, condition notes, and reminders.
“Build an equipment pool manager where department members reserve shared instruments, check them out and back in, record condition notes and photos on return, and get automatic reminders when items are overdue.”
Contract testing lab
External clients, paid bookings, and sample tracking.
“Build a lab management system where external clients book assisted instrument sessions at $61 per hour, pay by card at reservation, upload intake details, and follow samples from intake to report delivery.”
The machinery behind the calendar
Statements run on schedule. A server-side job can run on the first of the month, roll the ledger up by lab and grant code, and email each PI their statement on the facility’s template.
Each lab reads its own wall. Row-level rules scope every query to the signed-in member’s group. A student sees her lab’s bookings and charges, a PI sees the group’s, and Corinna sees the facility.
External users can pay at booking. When an external client books an assisted session at $61 per hour, checkout can happen in the reservation flow on the university’s own Stripe account. Internal recharges stay ledger lines against grant codes.
Shared facilities keep getting new users. The rules need to live in the system because the trained people keep graduating. That kind of institutional memory is central to the internal-tools page.
Common questions
What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. For a lab facility, it can build instrument calendars, sign-offs, booking rules, grant-code ledgers, statements, and external paid booking.
Do I get a real app, or a template?
A real app. Kliv builds the records and rules around your facility’s instruments, labs, rates, and policies.
Can I change it after it’s built?
Yes. You can add instruments, change rates, add training expiry rules, or adjust statements later.
Can it stop an untrained user from booking?
Yes. Qualification is checked against the training table when a booking is created. Without a current sign-off, the user has no slot to book.
How do instrument hours reach our grants?
Each booking carries a grant code from the lab’s registered list. Completed hours post to a ledger and roll up into monthly statements.
What happens during maintenance?
A service window blocks the instrument calendar. Affected bookings can be flagged and emailed automatically.
Can external users pay online?
Yes. External bookings can run through checkout on your own Stripe account at the rates you set. Internal recharges can stay as grant-code ledger lines.
Can each PI see only their lab?
Yes. Lab membership scopes bookings, sign-offs, and charges to the right group.
Can no-show policies be enforced?
Yes. The booking can release after a missed session and record the no-show according to the policy you define.
Do I need a separate CMS?
No. Instruments, rates, sign-offs, statements, and page text can be edited inside the app.
Can I use my own domain?
Yes. The system can run on your own domain.
Can I move off Kliv later?
Yes. The app’s code syncs to your own Git repository.

Put the rules inside the calendar
Describe your instruments, sign-offs, rates, grant codes, lab memberships, and statement schedule. Kliv builds the booking system around those rules.
