What is Kliv?
Kliv isn’t an invoicing product you configure around fixed settings — it’s an AI that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the data, the billing logic, the screens, the reminders, the client rooms, and the payment flow. What you get is a real web app that’s yours. You can run payments on your own Stripe account and change the app later by asking. It isn’t a template invoice tool.

Why build your own billing system?
Many invoicing tools assume one price list, one kind of work, and one reminder. Real businesses often bill differently by client, language pair, route, project, retainer, tax rule, or purchase-order requirement.
Kliv builds the billing system around your rules. The work log and invoice share one database. Every delivered job is a row, and month-end becomes arithmetic over rows rather than a search through emails.
What an invoice remembers
Billing goes wrong in the gaps between systems. Here, each part reads the same records.
Clients and rate cards
Each client record stores its own terms: per-word rates by language pair, rush multiplier, payment terms, and purchase-order rules.
Work log
Every delivered job is a row with word count, language pair, translator, and date. Invoices calculate from those rows.
Retainers
Monthly plans can charge on schedule through Stripe, with the drawn-down balance visible on the client’s page.
Reminder ladder
Payment terms live on the client. Day 3, day 10, and day 20 reminders can send in your wording.
Tax and audit trail
Business clients can add VAT IDs that print on invoices. Tax can calculate at checkout, and reports can be file-ready by jurisdiction.
Client room
Each client signs in to their own invoices, receipts, and retainer balance, and nobody else’s.

Here’s how one business might use an invoice and billing system built with Kliv. It’s only an example — you would describe your own rates, terms, and billing rules.
Draft invoices assemble from logged work
A scheduled job rolls every job since the last close into a draft invoice per client, priced from that client’s rate card. The museum draft already includes purchase-order numbers.
Review replaces retyping
Sofia skims seven drafts, adjusts one line where scope changed mid-project, and approves. The month-end weekend is no longer manual invoice assembly.
Retainers and project invoices go out
Retainers renew, project invoices send with payment links, and each invoice lands in the right client room when it exists.
Unpaid invoices climb the ladder
The oldest unpaid invoice triggers its first reminder after three days. Later reminders follow the schedule Sofia described.
An expired card recovers without a chase
A retainer client’s card fails. Dunning retries the charge, recovery emails link to the billing page, and the client updates the card from a phone.
A dispute becomes an approved credit
An agency disputes 800 words cut in editing. Sofia approves a credit against next month’s invoice, and the ledger records who approved it.

Where the billing engine earns its keep
Usage-priced billing uses the same rows. Where you charge per unit — words, deliveries, gigabytes — the unit is recorded once, and the invoice is computed from those rows.
You can rehearse a year first. In the Sandbox, billing can run on test payments and simulated time. Fast-forward through retainer renewals, an expired card, and a credit note before connecting Stripe.
Invoicing is one part of the commerce engine. Subscriptions, one-time sales, promotion windows, and tax registration are covered on a page of their own, worth reading if billing is where your business lives.

What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. For invoicing, it builds rate cards, work logs, invoices, reminders, client rooms, and payment rules.
Do I get a real app, or a template?
A real app. It is built around your clients, rates, retainers, reminders, and tax rules, not a fixed invoice layout.
Can I change it after it’s built?
Yes. You can change rate fields, add reminders, add payment methods, change client rooms, or add reports later.
Can clients pay by bank transfer instead of card?
Yes. Card payments can run through Stripe checkout on your account, while a bank transfer can be marked paid by you against the same invoice record.
Every client pays a different rate. Can the system handle that?
Yes. Rates, terms, multipliers, and invoice quirks live on the client record, and invoice math reads from that record.
How does VAT work when clients sit in different countries?
You register the jurisdictions where you owe tax. Checkout calculates the amount, business clients can attach tax IDs, and reports can be prepared per jurisdiction.
What happens when a retainer client’s card expires?
The failed charge is retried on a schedule, and recovery emails link the client to their billing page. If it is not fixed, the retainer pauses by the rule you set.
Do my clients need their own Stripe accounts?
No. Clients pay by card. Stripe is how the money reaches your account.
Does Kliv take a cut of invoice payments?
No. Payments run on your own Stripe account. Card processing fees are between you and Stripe.
Can clients see their own invoices?
Yes. Each client can have a room with their invoices, receipts, payment links, and retainer balance.
Can I use my own domain?
Yes. The billing app and client rooms can run on your own domain.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, and your data can be exported.
Can I test billing before real money moves?
