Build a custom workflow automation system
Kliv is an AI app builder. Describe your process in detail, and it builds a workflow automation system with states, approvals, alerts, schedules, roles, and history.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a workflow-automation product you sign up for and configure. It’s an AI that builds software for you.
You describe the app you need in plain words, and Kliv builds it: the database, the logic, the screens, and the workflows. What you get is a real, working app that’s yours. You can use it, change it later by asking for changes, and run it on your own domain. It isn’t a template with your name on it.
On this page, that app is a workflow automation system for your real process. Kliv builds all kinds of web apps; this is one of them, and that’s what the rest of this page covers.
Why build your own workflow automation?
Most teams already know their steps. The problem is that the steps live in inboxes, chat, spreadsheets, and memory. Generic automation tools connect triggers between those places, but the process can break when work goes off the expected path.
Kliv builds the workflow as an app. Jobs are records, steps are states, approvals are rows, and the rules for moving forward are enforced where the data lives.
What the system knows
These records keep work moving through a defined process.
Job tickets
One record per job keeps specs, quantity, due date, customer, files, current state, and history.
States and transitions
A job is always in one state, such as intake, preflight, proofing, approved, on press, or shipped. Moving it uses the transition you define.
Proofs and approvals
A proof is a file with an approval record. The customer approves or annotates on their own page, and the approval stores who, when, and which revision.
Customer windows
Each customer signs in and sees only their own jobs, proofs, and invoices.
Escalation rules
Two days unapproved, one day past due, or a rush job entering the queue can send an email, Slack message, or dashboard flag.
An example: Luis’s print shop
Here’s how one shop might use it. It’s only an example — you would describe your own states, approvals, roles, alerts, schedules, and integrations.
Intake creates a job ticket
At 9:12 Monday, an order form becomes job #4817: 5,000 tri-folds due Friday, with artwork attached and the job opened in preflight.
Preflight parks the job with a reason
A bleed problem moves the job into a waiting state with the reason written on it. It is not left in someone’s memory.
The customer approves on their page
The corrected proof publishes to the customer’s page. They see revision two, the price, and an approve button for their job only.
A stalled proof sends a nudge
After two days without approval, the scheduled check posts to the shop’s Slack channel and emails the customer.
Approval builds the press list
When the approval lands, the job moves into the next day’s press list. The pressroom receives the 6 a.m. email already in run order.
Shipping and invoice close the record
The tracking number is added, the state changes to shipped, the invoice issues, and the customer page updates before anyone calls.
Describe the workflow you want
Kliv builds from your description, so the more detail you give, the closer the first version. Include your states, required approvals, roles, stalls, notifications, and external tools. Here are three to build on:
Print shop jobs
States, proof approvals, Slack alerts, and press list.
“Build a workflow app for my print shop. Jobs move through intake, preflight, waiting on artwork, customer proof approval, press queue, finishing, shipping, and invoicing. Alert Slack when a proof sits unapproved for two days, and email the 6 a.m. press list in run order.”
Insurance renewals desk
Deadline-driven states and escalation.
“Build a workflow automation app for my brokerage’s renewals. Policies enter 90 days before renewal, move through review, quote, client approval, bind, and invoice, and escalate to the account manager at 30 days if still unapproved.”
Equipment repair flow
Check-in, diagnosis, quote, parts, and pickup.
“Build a repair-shop workflow where machines check in, get diagnosed, receive a quote approval from the owner, wait on approved parts, notify the owner at each state change, and close with pickup confirmation and invoice.”
How it comes together
Transitions are server-side functions. Moving a job checks what must be true first, writes who moved it, and fires whatever follows.
Scheduled jobs remember stalls: unapproved proofs, tickets past due, queue imbalance, the 6 a.m. press list, or the Friday review. Slack can be a useful surface without becoming the source of truth.
You can prove the walls before go-live. A Scenario can sign in as one customer and try to open another customer’s proof against a copied database. Workflow systems are a core internal-tool pattern; more examples are under internal tools.
Common questions
What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. You tell it what you need, it builds the app, and you own the result. For this page, that means a workflow automation app with states, transitions, approvals, customer portals, escalations, scheduled jobs, Slack alerts, and history.
Do I get a real app, or a template?
A real app. Kliv builds the database, the logic, and the screens for your specific case. It is not a pre-made theme you fill in.
Can I change it after it’s built?
Yes. You ask for changes in plain words and Kliv updates the app, without starting over.
Can I use my own domain?
Yes. The app can run on your own domain and go live as soon as you build it.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, so leaving is a git pull, not a rebuild.
Can customers participate without seeing internal work?
Yes. Customers can sign in to a portal that shows their jobs, proofs, and invoices only.
What happens when our process changes?
You describe the change — a new state, approval, role, or escalation window — and Kliv updates the app while keeping old job history.
Who can move a job forward?
Your roles decide. For example, press operators move press states, front office handles intake, and customers only approve proofs.
Can it work with Slack?
Yes. The workflow can post reminders, rush flags, and job links into Slack and react to Slack actions where you allow it.
Can it connect to other tools?
Yes, where useful. The source page names GitHub, Notion, Linear, Trello, HubSpot, Mailchimp, Calendly, and Discord as examples.
Can scheduled jobs send daily lists?
Yes. A scheduled function can send a press list, overdue digest, or weekly review on your template.
Can we test customer access before publishing?
Yes. Scenario tests can check that one customer cannot open another customer’s proof.
