Build a Google Workspace management tool
Kliv is an AI app builder. Describe the Google Workspace management tool your IT team needs: signed checklists, seat tracking, group owners, review dates, and evidence for every offboarding step.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a Google Workspace admin console replacement you sign up for and configure — it’s an AI app builder that creates custom software for you.
You describe what you need in plain words, and Kliv builds the real app: the data, the logic, the screens, and the workflows. You own the result, you can change it later by asking, and you run it on your own accounts. It isn’t a template with your name on it.
On this page, that app is a Google Workspace management tool that tracks people, approvals, seats, groups, shared drives, hardware, and offboarding evidence around your admin console. Kliv builds all kinds of web apps; this page focuses on one useful shape.
Why the admin console is not enough
The Google admin console can suspend accounts, grant licenses, and edit groups. It does not know whether the work was approved, whether a license belongs to someone who still works there, or who owns a shared drive.
A small IT team needs that surrounding record. Kliv builds a tool beside the console: people and their lifecycle, seats and their justification, groups and their owners, checklists and signatures, and a file that shows what happened when someone left.
What IT tracks
Six records the tool keeps for the IT team.
People and lifecycle
Each person has a state: starting, active, moving, leaving, or gone. HR’s dates drive the checklists and reports.
Signed runbooks
A hire creates a joiner checklist. A resignation creates a leaver checklist. Each step has an owner, a due date, and a signature.
License tracking
Paid seats are matched to current people. The monthly report shows seats paid for, people employed, reclaimable seats, and mismatches.
Groups and shared drives
Each group and shared drive has an owner, a purpose, and a next review date. Quarterly reminders keep owners attesting.
Offboarding evidence
Suspension, file transfer, mail forwarding, and hardware return are timestamped and checked by a person. The leaver’s file is ready when someone asks.
Hardware
Laptops and phones are assigned to people. The leaver checklist cannot complete while a device is still marked out.
An example: Femke’s insurance brokerage
Here’s how one IT team might use it. It’s only an example — you would describe your own people, checklists, licenses, and review rules.
A hire creates the right checklist
A branch manager submits a starter form. Kliv creates the joiner checklist with owners and due dates for account setup, groups, license, and laptop.
Day one is signed off before access is used
Before the new broker starts, account, groups, license, and laptop are signed off. The checklist is the record of who did each step.
A branch transfer updates access
When a colleague transfers branches, the mover runbook swaps group memberships and shared-drive access from a list. The old branch folders are removed the same afternoon.
A resignation opens an evidence file
The leaver checklist starts from the HR end date. Mail forwarding, file transfer, suspension, and hardware return each become signed rows.
The month-end report shows what changed
Femke gets a report with four reclaimable seats, one group without an owner, and zero unreturned devices. She checks the report instead of searching through accounts by hand.
Describe what you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Spell out your people states, checklists, reviews, reports, and evidence requirements. Here are three to build on:
Joiner and leaver runbooks
Signed onboarding and offboarding checklists.
“Build an IT onboarding and offboarding tool for our 175-person company. When HR adds a hire or departure, create a checklist with step owners, due dates, signatures, and timestamps. Include account setup, group access, license assignment, laptop handoff, account suspension, file transfer, mail forwarding, and hardware return.”
License seat tracking
Paid seats matched to current people.
“Build a software license tracker for Google Workspace. Match every paid seat to an active employee or contractor, flag seats with no current person, show the monthly delta, and email IT a reclaim list on the last business day of each month.”
Group ownership reviews
Owners and review dates for groups and drives.
“Build a register for our Google groups and shared drives. Store the owner, purpose, members, and next review date for each one. Run quarterly reminders until each owner confirms the group is still needed and its membership is correct.”
What runs between the clicks
Forms start the work. A starter form creates the checklist, assigns owners, and sets due dates. The manager who submitted it can see progress for their own team only.
Schedules keep records current. A monthly job computes the license delta and posts it to Slack. A quarterly job opens access reviews and reminds group owners until they attest.
Evidence is created as the work happens. Every signature, timestamp, and state change is stored. When an IT questionnaire arrives, the answers are queries against the record, not a separate documentation project.
Every IT team keeps tools the big platforms do not provide. Kliv can build the rest of that toolbox.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe the Google Workspace management tool you need, Kliv builds it, and you own the result.
Do I get a real app, or a template?
A real app. Kliv builds the database, the logic, and the screens for your specific case — not a theme or preset workflow you fill in.
Can I change it after it’s built?
Yes. You ask for changes in plain words, and Kliv updates the app without making you start over.
Does this replace the Google admin console?
No. Admin actions such as suspending accounts and granting seats still happen in Google’s console. This tool tracks the surrounding record: why the action happened, who approved it, which checklist required it, and what evidence was produced.
Does Kliv charge per employee?
No. Kliv’s plan covers building and running the app. Adding the 176th employee changes your Google Workspace bill, not the structure of this tool.
Can HR use it without seeing IT-only data?
Yes. Roles scope what each user can read and edit. HR maintains people and dates, IT maintains systems and checklists, managers see their own team’s progress, and views do not leak across roles.
What does an offboarding file prove?
It shows each required step, when it happened, and who signed it: suspension, file transfer, mail forwarding, and hardware return.
Can it remind group owners to review access?
Yes. You can set quarterly review dates and reminders that continue until each owner attests.
Can it track hardware too?
Yes. Laptops and phones can be assigned to people, and a leaver checklist can stay open until every device is returned.
Can managers see onboarding progress?
Yes. A manager can see the checklist for their own team without getting access to other departments’ records.
Can I move off Kliv later?
Yes. The app’s source syncs to your own Git repository, and your records are in a database you own.
