Build a time and project tracking app
Kliv is an AI app builder. Describe your time and project tracking app, with phase budgets, weekly approvals, burn-down reports, client views, and invoices, and Kliv builds it.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a generic time tracker you sign up for and configure — it’s an AI app builder that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the data, the rules, the screens, and the checkout. What you get is a real app that’s yours. You can use it, change it later by asking for changes, and run payments through your own Stripe account. It isn’t a template with your name on it.
On this page, that app is a time and project tracking app for the way your firm actually works. Kliv builds all kinds of web apps; this is one of them, and that’s what the rest of this page covers.
Why build your own time tracker?
Many time trackers assume billing by the hour is the whole business. A consultancy may sell fixed-fee phases, where hours are costs to control, not revenue to celebrate. The useful number is burn against budget, and it matters while the week can still change.
Kliv builds the tracker around your firm’s structure: projects, phases, approval flow, rate table, client window, and invoices. When your habits change, you can ask for the app to change with them.
Project and time records
The data a firm needs to trust the number on Tuesday.
Projects and phases
Each project carries its fixed fee and phase budgets. A closed phase stops accepting entries, so late work becomes a decision instead of a hidden cost.
Time entries
Person, phase, minutes, and note. Entries are editable until weekly approval, then locked so invoices are built on stable numbers.
Rates and roles
Cost rates and bill rates live in a table only partners can read. Margin by project becomes a report, not a Friday spreadsheet.
Weekly approval
Hours count when the reviewing engineer approves the week. Draft entries do not move the burn-down.
Burn-down
Each phase shows budget, burned hours, and trajectory. If 78% of hours are spent with half the deliverables issued, partners see it early.
Client window
Clients can sign in and see their own projects, milestones, status, and approved hours. Other clients’ rows do not exist for them.
An example: Rowan Engineering’s project tracker
Here’s how one firm might use it. It’s only an example — you would describe your own phases, approvals, rates, client views, and invoicing rules.
A signed proposal becomes phases
When Rowan wins a footbridge assessment, the fee, four phases, and hour budgets are entered the same day. Every hour now lands somewhere accountable.
Hours accumulate and lock weekly
Engineers log time from a small entry bar between site visits. The reviewing engineer approves Friday’s week, and those entries lock.
A phase warning starts a conversation
Phase 2 reaches 78% of its hours while only half the drawings are issued. The partner sees it on Tuesday, with time to redirect the work.
Scope creep gets its own record
The client adds a retaining wall. Rowan adds a fifth phase with its own budget and price, so the extra work does not disappear into margin.
The invoice drafts from approved hours
At month end, approved hours meet the fee schedule and a draft invoice appears for review. No one retypes time from another system.
The next estimate gets sharper
Closeout compares estimated and actual hours phase by phase, feeding the next proposal.
Describe the tracker you want
Kliv builds from your description, so the more detail you give, the closer the first version. Include project structure, approval rules, rates, visibility, and invoicing. Here are three to build on:
Phase budgets
Fixed-fee phases with burn-down.
“Build a time and project tracking app for a nine-person engineering consultancy. Each project should have fixed-fee phases with hour budgets, a burn-down chart per phase, and warnings when a phase passes 75% of its budget before key deliverables are done.”
Approval flow
Weekly timesheets that lock after review.
“Add weekly timesheets where each engineer logs time by project phase, a senior engineer approves the week every Friday, and approved entries lock so later corrections become explicit adjustment entries.”
Client status window
Client sign-in scoped to their own projects.
“Give each client a sign-in where they see only their own projects, milestones, status, and approved hours to date, with no access to rates, other clients, or internal notes.”
How it comes together
The client window rests on row-level rules: a client can read their own project rows and nothing else. The rate table works in the other direction: cost rates are visible only to partners.
A scheduled job can email each engineer about unlogged days every Monday. Burn alerts can post to Slack when a phase crosses its threshold, so the conversation starts where the project already lives.
Invoices can draft from approved hours and the fee schedule, then be reviewed before sending through your own Stripe account.
A tracker like this is the classic internal tool: private, opinionated, and shaped like one firm. More examples live on the internal tools page.
Common questions
What exactly is Kliv?
Kliv is an AI app builder that builds custom web apps from a description. For time and project tracking, it builds projects, phases, time entries, approvals, reports, client access, and invoices around your rules.
Do I get a real app, or a template?
A real app. Kliv builds the database, screens, permissions, and workflows for your firm’s project structure.
Can I change it after it’s built?
Yes. You can change phases, approval rules, rate tables, reports, or client views later by asking.
Can hours be edited after approval?
They can be locked. Corrections can become explicit adjustment entries with their own trail, so approved time and invoices do not drift quietly.
Can we keep cost rates confidential?
Yes. Cost rates can live in a table only partner accounts can read. Engineers can log time without seeing what the firm pays or charges.
What about subcontractors?
Subcontractors can get their own sign-ins, log against assigned phases, and see nothing else: no rates, no client list, and no unrelated projects.
Does it produce invoices?
Yes. Draft invoices can be assembled from approved hours and the fee schedule, reviewed by you, and sent through your own Stripe account.
Do clients need Stripe accounts?
No. Clients pay by card if you take payment through the app. Stripe is how the money reaches your account.
Can clients see project status?
Yes. Clients can see their own milestones, status, and approved hours, scoped to their own projects.
Can reminders chase missing time?
Yes. Scheduled emails or Slack alerts can remind people about unlogged days or overdue approvals.
Can I move off Kliv later?
Yes. The app’s code syncs to your own Git repository.
Do I need a separate reporting tool?
No. Burn-down, margin, utilization, and invoice drafts can be reports inside the app.
