Real Estate Management
Build a contract and document management system
Kliv is an AI app builder. Describe how your real-estate deals close, and it builds a document system with checklists, versions, reminders, and client access.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a document folder product — it’s an AI that builds software for you.
You describe the app you need in plain words, and Kliv builds it: the data, the workflow, the screens, and the access rules. What you get is a real web app that’s yours, available on your own domain for the people you invite, and you can change it later by asking. It isn’t a template.
On this page, that app is a transaction file room for real-estate deals. Kliv builds all kinds of web apps; this is one example.
Why escrow files outgrow email
A purchase file can contain dozens of documents moving at different speeds. The disclosure packet needs an acknowledgment, the inspection amendment replaces a page everyone already signed, and the financing contingency expires on day 21 whether anyone remembers it or not. Cloud storage keeps files, but it does not know what a complete deal requires.
Kliv builds the system around how a deal closes. Each transaction has its parties, checklist, dates, documents, versions, and access rules. When a file is complete, the system can say so because it knows the checklist for that deal type.
The deal file, opened up
Six things a transaction file has to keep straight.
Transactions and parties
Every deal is a record with the address, buyers, sellers, agents on both sides, and title contact. Documents, deadlines, and acknowledgments attach to that deal.
Checklist by deal type
A cash purchase, financed purchase, and lease can each have their own required-document list. A file is complete only when its own list is complete.
Versions that supersede
An amended purchase agreement replaces the original in normal views. The original stays on file, marked superseded, because closings can be disputed later.
Contingency deadlines
Inspection, appraisal, and financing dates live on the deal. Reminders reach the right agent days ahead, not on the morning something expires.
One wall per deal
A buyer signs in and sees their transaction: shared documents and dates for that deal. Other brokerage files do not come back for that login.
The audit answer
Months after closing, if someone asks who opened a payoff statement and when, the access log already has the answer.
An example: Dalia’s real-estate brokerage
Here’s how one brokerage might use a document system built with Kliv. It’s only an example — you would describe your own deal types, checklists, deadlines, and client access.
The file opens when the offer is signed
A financed-purchase checklist attaches to the deal, contingency dates calculate from ratification, and each party is invited to their side of the transaction.
Disclosures become recorded acknowledgments
The sellers’ disclosures upload once and appear to the buyers behind their login. The acknowledgment is recorded on the file instead of buried in an email thread.
An amendment replaces the current version
The repair addendum becomes version two of the agreement. From then on, the amended contract is the default, and the original remains below it as superseded.
The financing reminder arrives early
Three days before the financing contingency expires, the buyer’s agent gets the reminder scheduled from the deal date. No spreadsheet has to be checked.
The closing checklist shows what remains
Final walk-through confirmed, closing statement uploaded, and the checklist shows the one open item instead of a guess.
The closed file stays exportable
After recording, the file closes and remains archived with every version, acknowledgment, and timestamp for however long the brokerage needs to keep it.
Describe how your deals close
Kliv builds from your description, so the more detail you give, the closer the first version. Include deal types, documents, deadlines, versions, and who can see what. Here are three examples:
Brokerage transaction files
Deal files, deadlines, versions, and client access.
“Build a transaction file manager for my 12-agent brokerage. Include separate checklists for cash purchases, financed purchases, and leases; contingency reminders 7, 3, and 1 day before deadlines; version history for amendments; and client logins scoped to their own deal.”
Landlord lease binder
Leases, renewals, tenant access, and expiry reminders.
“Build a lease document manager for 30 rental units. Store signed leases and renewals, mark renewals as superseding old versions, give each tenant access to their own documents only, and send expiry reminders 90 and 30 days before the lease ends.”
Title-office checklist
Required documents and automatic follow-up.
“Build a title-office file tracker. Each closing should have a required-document checklist, status per document, responsible party, and automatic email nudges to whichever buyer, seller, lender, or agent still owes paperwork.”
Where the file gets its rules
Documents live behind access rules. Scans and PDFs sit in a private file store where access is granted per person and per deal. A forwarded link does not give a stranger access.
Deadlines are dates the system watches. Contingency dates live on the transaction, and a scheduled job checks them. Reminders go out from your own address, using the lead time each deal type needs.
Privacy has a paper trail. Each client login is scoped to the right rows: their deal, their documents, their dates. Reads are logged, so access questions have factual answers.
The file room is one part of the operation. Listings, showings, tenants, and the money side belong to real estate on Kliv, which covers the whole property business, listings to ledgers.
Common questions
What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. For real-estate document management, it builds the deal records, checklists, reminders, file storage, and client access rules.
Do I get a real app, or a template?
A real app. Your deal types, document lists, deadlines, roles, and client portals are built for your brokerage.
Can I change it after it’s built?
Yes. Ask for a new checklist item, a changed reminder schedule, or another client role, and Kliv updates the app.
Can a buyer see any file other than their own?
No. Access is enforced by row-level rules. A client login queries only the transaction it belongs to.
Does it handle e-signatures?
It tracks signed and outstanding documents rather than replacing your signing tool. Sign in the tool your market already uses, then file the executed PDF here with the checklist state.
What happens to superseded versions?
They stay. An amendment points normal views to the new version, while older versions remain on the record marked superseded.
Can it remind agents about contingency deadlines?
Yes. Deadlines live on the transaction, and scheduled reminders go to the assigned agent at the intervals you choose.
Can clients download their own documents?
Yes. A client login can show the documents shared with that party, and nothing from other deals.
Can I use my own domain?
Yes. The portal can run on your own domain for agents, clients, and other invited users.
Can I move off Kliv later?
Yes. Documents and tables are exportable, and the app’s source syncs to a Git repository under your control.
Is the access log kept?
Yes. File reads can be logged with who opened what and when, so audit questions do not depend on memory.
