Build a custom venue and event management system
Kliv is an AI app builder. Describe how your venue books dates, handles holds, manages rooms, and runs events, and it builds the system around those rules.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a venue management product you sign up for and configure. It’s an AI that builds software for you.
You describe the app you need in plain words, and Kliv builds it: the database, the logic, the screens, and the workflows. What you get is a real, working app that’s yours. You can use it, change it later by asking for changes, and run it on your own domain. It isn’t a template with your name on it.
On this page, that app is a venue and event management system built around your booking rules. Kliv builds all kinds of web apps; this is one of them, and that’s what the rest of this page covers.
Why build your own venue system?
Venue software often assumes either a small spreadsheet or a large convention center. Many venues sit in between. A restored ballroom, a barn, a gallery, or a civic hall may have its own rules: one event per day, short holds, approved vendors, capacity limits by layout, and a run sheet the whole staff needs to trust.
Kliv builds the system around those rules. The calendar, contract, invoice status, vendor list, floor plan, and run sheet live in one database, so a date is not promised twice and a hold does not depend on someone remembering to release it.
The venue’s book of record
The system keeps the records a venue needs to book dates and run events cleanly.
Calendar and holds
One date is one record. A hold reserves it for 14 days, a reminder can go out on day 12, and the date releases automatically on day 14 if the contract is not paid.
Rooms and layouts
Banquet seats 180, theatre seats 260, and cocktail fits 320. The selected layout sets the maximum guest count a client can enter on the contract.
Clients and contracts
Each event keeps the client, signed contract, invoice status, and files in one place, whether it is a wedding, corporate off-site, or quinceañera.
Approved vendors
Caterers, AV crews, and other vendors can be limited to the approved list. The run sheet only accepts vendors that meet the venue’s rules.
Run sheets
Load-in time, ceremony time, floor plan, vendor contacts, and special notes all live on the event, readable by staff from their phones.
An example: Nora’s historic ballroom
Here’s how one venue might use it. It’s only an example — you would describe your own rooms, holds, contracts, and event-day rules.
An inquiry becomes a record
Nora runs The Meridian, a restored 1926 ballroom. A couple asks about a June Saturday, and the website form creates a record with the date, event type, and rough headcount.
The tour stays attached
The couple books a Wednesday walkthrough through Calendly. The booking writes back to their event record, so the file is complete before they arrive.
The date holds itself
After the tour, Nora places a 14-day hold. The system sends a day-12 reminder and releases the date on day 14 if the contract is not paid.
Payment confirms the booking
The rental invoice is paid through the venue’s Stripe account, and the same record changes the date from held to booked.
The run sheet replaces the phone chase
Six weeks out, the client fills in vendors from the approved list, timeline, and floor plan. The system enforces the choices the venue requires.
Staff work from one schedule
On event day, staff open the run sheet on their phones. After load-out, the bar-consumption invoice goes out from the same event record.
Describe the venue system you want
Kliv builds from your description, so the more detail you give, the closer the first version. Include your rooms, capacities, holds, contract rules, and event-day workflow. Here are three to build on:
Historic ballroom
Inquiries, tours, expiring holds, room layouts, and run sheets.
“Build a venue booking system for my historic ballroom. Let clients inquire about dates, schedule tours, place a 14-day hold, send a reminder on day 12, release unpaid holds on day 14, and turn paid contracts into booked dates.”
Room configuration rules
Cap the guest count from the selected room layout.
“Add room configurations for my venue: banquet seats 180, theatre seats 260, and cocktail fits 320. When a client chooses a layout on the contract, cap the guest count to that layout’s capacity.”
Event run sheets
One event-day schedule for staff and approved vendors.
“Give every confirmed event a run sheet with load-in times, vendor contacts chosen from an approved list, a floor plan attachment, and a phone-friendly staff view.”
How it comes together
A date is one record, so the system can refuse a second hold on a held or booked date. Hold expiry is a scheduled job, not a task on a coordinator’s list.
Contracts, floor plans, and vendor files stay attached to the event. Clients see their own event, and staff see the events they work on. Access is enforced on the records, not by hiding links.
Before you rely on it for a season, you can ask Kliv for a Scenario test that walks an inquiry through hold, payment, and run sheet in a real browser against a copied database. When your events sell tickets instead of contracts, the events page covers check-in, programs, and ticketing.
Common questions
What exactly is Kliv?
Kliv is an AI that builds custom web apps from a description. You tell it what you need, it builds the app, and you own the result. For this page, that means a venue system with inquiries, tours, holds, contracts, capacity rules, approved vendors, and run sheets.
Do I get a real app, or a template?
A real app. Kliv builds the database, the logic, and the screens for your specific case. It is not a pre-made theme you fill in.
Can I change it after it’s built?
Yes. You ask for changes in plain words and Kliv updates the app, without starting over.
Can I use my own domain?
Yes. The app can run on your own domain and go live as soon as you build it.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, so leaving is a git pull, not a rebuild.
Can two coordinators promise the same date?
No. A date is one record. If it is held or booked, a second hold is refused when someone tries to save it.
Do holds really expire on their own?
Yes. You can set the hold length, reminder timing, and release rule. For example, a 14-day hold can send a day-12 reminder and release on day 14.
Can clients see only their own event?
Yes. A client signs in to their own contract, run sheet, floor plan, and invoice. Other events do not appear for that account.
Can the system enforce room capacities?
Yes. Each layout can carry its own capacity, and the chosen layout can cap the guest count on the contract.
How do we keep unapproved vendors out?
The vendor fields can accept only vendors from your approved list. Adding a new vendor is an admin decision.
Can staff use it during the event?
Yes. The run sheet is part of the web app, so staff can open it from a phone.
Can it handle payments?
Yes, if you include payments in the app. Contracts, invoices, and post-event charges can run through your own Stripe account.
