    What is Kliv?

Kliv isn’t an agency-management product you configure — it’s an AI that builds software for you.

You describe the app you need in plain words, and Kliv builds it: the database, the logic, the screens, the client portal, and the billing rules. What you get is a real app that’s yours. You can run it on your own accounts, including your own Stripe account, and change it later by asking. It isn’t a template.

On this page, that app is an AI agency and consulting platform. Kliv builds all kinds of web apps; this page focuses on running client work, approvals, retainers, and billing in one place.

Why an AI consultancy needs its own system

An AI consultancy sells careful systems to clients, but its own work often lives across documents, spreadsheets, shared drives, and billing tools. Scope is in one place, pilot metrics in another, deliverables in email, and retainer hours wherever someone remembered to log them.

Kliv builds the agency’s own app from your description: engagements with states, a portal where each client sees only their own work, versioned deliverables, retainer tracking, and monthly billing. The result fits the way you actually sell and deliver consulting work.

    What the system knows

The core records an AI consulting firm needs, with rules attached to each one.

    Engagements and scopes

Each engagement carries its statement of work, phase, and success criteria. The pilot’s target metric is a field both sides agreed to, so “did it work?” has a recorded answer.

    Client workspaces

A client signs in and sees their engagements, files, approvals, and invoices. They do not see another client’s work because access is enforced in the database.

    Deliverables and approvals

Reports, evaluations, and prototype links are versioned. Clients approve the right version themselves, and the app records who approved it and when.

    Retainer hours

Hours log against the month’s retainer, and the remaining balance is visible before anyone has to ask. Scope changes become numbers both sides can see.

    Pilot scorecards

Every pilot tracks the metric it promised. When the renewal conversation starts, the scorecard is already there.

    Your agency’s own agent

An agent grounded in your proposals, case studies, and methodology docs can draft from what your firm has actually written before. It sees only what the signed-in user is allowed to see.

    An example: Nadia’s AI consultancy

Here’s how one AI consultancy might use it. It’s only an example — you would describe your own engagements, clients, approvals, and billing rules.

    01

    A prospect becomes an engagement

A prospect fills the intake form. An engagement opens in discovery with the notes attached, and the workshop booking is tied to the same record.

    02

The scope is approved in the portal

Nadia adds the scope, phases, and pilot success metric to the client workspace. The client approves it there, and the approval is timestamped and kept.

    03

    Deliverables stay versioned

Reports, evaluations, and prototype links land in the workspace. The client comments where the work lives instead of across several email threads.

    04

    The retainer bills itself

The client starts a $4,500 monthly retainer on Nadia’s Stripe account, billed on the first of each month. If the card expires in month five, retries and recovery emails handle it.

    05

    Hours are visible before renewal

The team logs hours against the retainer, and the client can see the balance. Mid-month overage concerns are visible early instead of saved for an awkward renewal call.

    06

    The renewal starts from facts

The scorecard shows the pilot result, the hours history is clean, and the agent drafts next quarter’s scope from the engagement record and the agency’s past documents.

    Describe the platform you want

Kliv builds from your description, so the more detail you give, the closer the first version. Include the engagement states, client roles, approval rules, billing terms, and the records you need. Here are three examples:

    kliv.dev

    AI consultancy hub

Engagements, approvals, retainer hours, and monthly billing.

“Build an AI agency platform for my consulting firm. Track discovery, pilot, delivery, and retainer engagements; give each client a private workspace; version deliverables with client approvals; log retainer hours against a $4,500 monthly plan; and bill retainers monthly through my Stripe account.”

    kliv.dev

    Fractional CTO practice

Advisory clients, decision logs, and quarterly invoices.

“Build a client portal for my fractional CTO practice. Track advisory engagements, meeting notes, decisions, risks, and next actions per client. Invoice each client quarterly at $7,500, let clients download invoices, and make sure each client sees only their own records.”

    kliv.dev

    Automation studio

Process intake, build status, support retainers.

“Build a project hub for my automation studio. Clients should submit process descriptions, approve test results, track build status, and pay a $1,200 monthly support retainer after launch. Support hours should accrue against the retainer and show in the client portal.”

    How it comes together

Client access is enforced on the rows. Each client is an organization in the app, and every engagement, file, invoice, and transcript carries its owner. The portal, file store, and agent all follow the same rule.

Retainers are subscriptions. A paid discovery month can be a trial, a mid-quarter upgrade can prorate fairly, and a failed card can trigger retries and recovery emails. Kliv doesn’t price by how many clients you serve, and the money lands on your own Stripe account.

The code is yours. The app syncs with your own Git repository. If you leave Kliv later, the code goes with you.

Pitching, delivering, and billing client work is its own craft; agencies on Kliv goes deeper on running the whole practice.

    Common questions

    What exactly is Kliv?

Kliv is an AI app builder. You describe the custom web app you need, and Kliv builds it. For an AI agency, that can include client workspaces, engagements, approvals, retainers, billing, and an agent grounded in your own documents.

Do I get a real app, or a template?

A real app. Kliv builds the database, rules, screens, and workflows for your practice. It is not a generic agency template with labels changed.

Can I change it after it’s built?

Yes. You can ask for changes in plain words: add a stage, change the approval flow, revise a retainer plan, or add a report. The app updates without starting over.

Can clients really be walled off from each other?

Yes. Every row belongs to a client organization, and reads outside that organization return nothing. The rule applies to pages, files, invoices, and agent answers.

How do retainers handle scope changes?

Upgrades and downgrades are subscription changes with proration when you choose. The hours ledger keeps its history, so renewal discussions start from recorded work.

Can our own platform have an agent?

Yes. You can upload proposals, methods, and case studies into the knowledge base. The agent answers and drafts from those documents, sees only the signed-in user’s allowed rows, and stores transcripts in your database.

What does the client actually see?

A portal under your own domain with their engagements, deliverables awaiting approval, retainer balance, and invoices. They can sign in with email, Google, or a passkey.

Does Kliv take a cut of our retainers?

No. Payments run through your own Stripe account. Kliv does not take a per-client or per-retainer cut.

Can I move off Kliv later?

Yes. The code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.

Do I need a separate CMS or portal tool?

No. The app is its own admin and client portal. You edit records, manage approvals, and update visible copy inside the app.

Can we keep using our existing calendar links?

Yes. The source example uses Calendly linked to the engagement record, so bookings can be tied back to the client and scope.
