Build a recruiting agency candidate portal

Kliv is an AI app builder. Describe the recruiting agency candidate portal you need — private client shortlists, hiring-manager feedback, and pipeline dashboards — and it builds it on your own domain.

    What is Kliv?

Kliv isn’t a recruiting product you configure — it’s an AI that builds software for you.

You describe the app you need in your own words, and Kliv builds it: the database, the roles, the screens, the dashboards, and the workflows. What you get is a real web app that’s yours, on your own domain. You can use it, change it later by asking for changes, and run it on your own accounts. It isn’t a template with your logo on it.

On this page, that app is a recruiting agency candidate portal. Kliv builds all kinds of web apps; this is one example.

Why candidate updates should not travel by attachment

Recruiting agencies often deliver their best work as PDFs and email threads. A recruiter sends a shortlist. A hiring manager forwards it. Feedback comes back in fragments. By the next round, nobody is completely sure which version of the shortlist the client reviewed.

Kliv builds the portal around the work itself. Clients sign in to a space that belongs only to them. Shortlists stay current. Feedback lands as structured data on the candidate and role it belongs to. The agency dashboard reads from the same records the work happens in.

    Either side of the wall

What the agency keeps, what each client sees, and the rule that separates them.

    Candidates

The agency keeps the full candidate record: profile, skills, salary band, and interview history across searches. Clients see only the presentations you choose to share with them.

    Shortlists

A shortlist is a curated set of candidates for one client and one role, with recruiter notes attached. The portal makes that shortlist current and reviewable without sending another file.

    Client separation

Every shortlist row carries the client it belongs to, and reads are filtered by that fact in the database. Eleven clients means eleven separate client views in one system.

    Feedback

Advance, hold, or pass, plus the reason, is recorded per candidate and role with a timestamp. Feedback becomes a record, not a sentence buried in a chain.

    Stages

Presented, feedback due, interviewing, offer, placed. The candidate’s stage in a search is structured, which is what makes the dashboard possible.

    Pipeline dashboard

Time-in-stage by search and by client is computed from the rows where the work happens. The Monday meeting starts from facts, not updates collected by hand.

An example: Jonas’s engineering recruiting agency

Here’s how one agency might use it. It’s only an example — you would describe your own searches, client roles, feedback stages, and dashboard rules.

    01

The longlist stays inside the agency

Jonas has 30 candidates in the agency database for a senior firmware role. Five make the shortlist. Only those five appear in the client portal; the other 25 stay private.

    02

The client reviews one current shortlist

The hiring manager signs in and reads five profiles with anonymized résumés, salary bands, and Jonas’s notes. There is no attachment and no version number to confuse.

    03

    Feedback becomes searchable data

By Tuesday, the client marks two advance, one hold, and two pass, each with a reason. The verdict is stamped on the candidate-role pairing and remains searchable months later.

    04

The shortlist updates without a new file

Two fresh candidates replace the passes. The shortlist page is still the current version, so the agency and client are looking at the same thing.

    05

    Interview booking updates the stage

Advancing candidates book through the agency’s Calendly from the portal, and the booked slot writes back to the candidate’s stage.

    06

    The offer clears the dashboard

When the stage changes to offer, the search leaves the at-risk column. Jonas’s Monday meeting starts with the few cases that still need attention.

Describe what you want to build

Kliv builds from your description, so the more detail you give, the closer the first version. Spell out who can see what, which feedback options matter, and what your team needs to track. Here are three to build on:

    kliv.dev

    Tech search portal

    Client shortlists, feedback, and dashboards.

“Build a candidate portal for my engineering recruiting agency. Each client should see only its own shortlists. Hiring managers should choose advance, hold, or pass for each candidate and enter a required reason. My team should see a dashboard with time-in-stage across searches and a morning list of feedback overdue by more than three days.”

    kliv.dev

    Executive search presentations

    Confidential profiles for boards.

“Build an executive search portal where each client board sees anonymized candidate presentations for its own engagement, records confidential feedback per candidate, and cannot see anything about other searches, clients, or candidates.”

    kliv.dev

    Staffing pipeline board

High-volume approvals by client and week.

“Build a staffing agency portal where clients review weekly batches of shift candidates, approve or decline each person, leave a reason when they decline, and my team sees fill rate, time-to-approval, and open roles per client per week.”

    What the agency runs on

Client separation is tested, not just promised. A Scenario test can sign in as one client’s hiring manager and try to find another client’s shortlist. The expected result is empty reads, with a run report showing what was attempted and refused.

Feedback becomes agency memory. Because verdicts are records, the agency can answer questions email cannot: every reason a client gave for passing, every candidate held twice and placed later, and every search waiting on a decision.

The dashboard does the chasing. A scheduled digest can list every candidate waiting more than three days for feedback, grouped by recruiter and client. The wording stays yours, but the reminders come from the app.

Agencies on Kliv tells the wider story — every client behind its own wall, one operation across all of them.

    Common questions

    What exactly is Kliv?

Kliv is an AI that builds custom web apps from a description. For a recruiting agency, that can mean a portal with client-only shortlists, structured feedback, candidate records, and dashboards.

Do I get a real app, or a template?

A real app. Kliv builds the database, access rules, screens, and workflows for your agency. It is not a generic recruiting theme.

Can I change it after it’s built?

Yes. You can ask for new feedback options, stages, dashboards, reminders, or client views later.

Could one client ever see another client’s shortlist?

No, if you describe that boundary. Shortlist rows are filtered by client in the database, so a signed-in hiring manager can query only their own engagements.

What happens when two clients want the same candidate?

Each presentation is its own candidate-client-role pairing. One client portal does not reveal that a candidate exists in another engagement unless you choose to expose that information.

Will hiring managers actually use it?

The portal can keep the task simple: review profiles, choose advance, hold, or pass, and add a reason. Sign-in can use email, Google, or a passkey.

    Who owns the candidate history?

The agency. Candidates, notes, verdicts, placements, and exports belong to your app, and the code syncs to your own Git repository.

Can I use my own domain?

Yes. The portal can run on your own domain for clients and staff.

Can I move off Kliv later?

Yes. The code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.

Can clients leave structured feedback instead of emails?

Yes. Feedback can be recorded as advance, hold, or pass, with required reasons and timestamps on the candidate-role record.

Can my team see time-in-stage across searches?

Yes. Time-in-stage is computed from the search records, so dashboards can show stale searches, late feedback, and offer-stage candidates.

Do I need a separate CMS or portal tool?

No. The app includes its own admin for candidates, client records, shortlists, and page text.
