Build a gym management system
Kliv is an AI app builder. Describe a gym management system with memberships, class caps, waitlists, punch cards, check-in, coach rosters, and billing on your own Stripe account.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a franchise gym product you sign up for and configure — it’s an AI app builder that creates custom software for you.
You describe what you need in plain words, and Kliv builds the real app: the data, the logic, the screens, and the workflows. You own the result, you can change it later by asking, and you run it on your own accounts, including your own Stripe account for payments. It isn’t a template with your name on it.
On this page, that app is a gym management system for memberships, class bookings, waitlists, punch cards, check-in, coach rosters, member files, and billing. Kliv builds all kinds of web apps; this page focuses on one useful shape.
Why your gym needs its own rules
Many gym systems assume one standard plan grid and one standard booking flow. Real gyms have class caps, founding-member prices, student plans, off-peak access, punch cards, day passes, and unstaffed check-in.
Kliv builds the system around your rules. Membership, booking, billing, and check-in use the same member record, so the roster, payment status, and door screen agree.
What the gym system holds
Six records your desk and members use every day.
Members and plans
Each member stores their plan, start date, standing, and special cases such as founding rates or comped coach accounts.
Classes and caps
Each session has a coach, time, and cap. A thirteenth booking for a twelve-person class is rejected by the system.
Punch cards and day passes
A ten-class card is a prepaid balance. It spends one punch per booking, shows what remains, and refuses the eleventh visit.
Check-in
The door screen reads the same entitlement billing writes. A lapsed membership shows the morning the grace period ends.
Coaches and rosters
Coaches see their own classes and rosters without seeing the whole gym schedule unless their role allows it.
Technique library
Movement demos, program PDFs, and member resources live in the file store and open only to active members.
An example: Avery’s barbell club
Here’s how one gym might use it. It’s only an example — you would describe your own plans, caps, classes, passes, access rules, and billing terms.
A trial opens booking rights
Avery’s new member starts a free trial week online. The card is stored, the trial starts, and booking rights open immediately.
The trial converts without desk work
On day eight, the first $55 monthly charge runs and the receipt goes out on the gym’s template.
A full class uses the waitlist
The 6 a.m. class has 12 racks and is full. The member joins the waitlist, and a cancellation email offers the slot in order.
A failed card gets fixed by the member
A renewal fails. Retries run and a recovery email links to the member billing page, so the member updates the card from a phone.
An upgrade changes access at once
The member switches from off-peak to unlimited. Evening booking rights open as soon as the billing change is recorded.
A member question reads the right record
At night, the member asks how many punches remain and when the deadlift clinic starts. The answer comes from that member’s balance and the gym schedule.
Describe what you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Include plan prices, caps, waitlist rules, pass terms, check-in, and billing details. Here are three to build on:
Barbell club
Memberships, capped classes, and waitlists.
“Build a gym system for my barbell club. Charge $55 per month for standard membership, keep founding members at $45, cap each class at 12 with a waitlist, store coach rosters, and give members a page for booking, billing, and receipts.”
Boutique studio
Class packs and reminders.
“Build a studio booking system where clients buy 5-class packs for $90 or 10-class packs for $160, each pack expires after six months, sessions cap at 14 people, and clients get an email reminder 24 hours before class.”
Climbing gym
Day passes, punch cards, and rentals.
“Build a climbing gym system with $18 day passes, $150 ten-visit punch cards, $59 monthly memberships, and shoe and harness rentals added at check-in with the rental charge on the same receipt.”
The machinery underneath
Different price types can share one catalog. Monthly memberships, day passes, punch cards, comped accounts, and free trials can all run through checkout on your own Stripe account, and each one opens the access it paid for.
You can test the busy season first. In the Sandbox, use test payments and simulated time to run a surge of signups, failed cards, cancellations, and class bookings before real members use it.
Class caps can be tested. A Scenario can sign in as a member and try to book a full class against a disposable copy of the database. The test record shows whether the booking was refused and why.
The system can keep growing: weekly schedule emails, public day-pass sales, and dashboards showing which classes fill. For the wider business, see running a fitness business on Kliv.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe the gym management system you need, Kliv builds it, and you own the result.
Do I get a real app, or a template?
A real app. Kliv builds the database, the logic, and the screens for your specific case — not a theme or preset workflow you fill in.
Can I change it after it’s built?
Yes. You ask for changes in plain words, and Kliv updates the app without making you start over.
Does Kliv take a cut of member payments?
No. Payments run through your own Stripe account. Card processing costs are between you and Stripe.
Do members need their own Stripe accounts?
No. Members just pay by card.
Can classes have hard caps and waitlists?
Yes. The cap lives on the session record, and waitlisted members can be offered freed slots in order by email.
Do punch cards and memberships work together?
Yes. A punch card is a prepaid balance, and a membership is a subscription. The booking flow can check them in the order you define.
What happens when a member’s card fails?
Kliv retries the charge and sends recovery emails. If the grace period ends without payment, access closes on the schedule you set.
Can coaches see only their own rosters?
Yes. Roles can scope coaches to their own classes while office staff see the full schedule.
Can I keep founding-member prices?
Yes. A member record can carry a special plan or price that stays in place while new members use current rates.
Is my member data locked in?
No. Your member list and check-in history are your records, and the app’s source syncs to your own Git repository.
