Build a background check and verification tracker
Kliv is an AI app builder. Describe your screening process, and it builds a real tracker for consent, submissions, result access, renewal dates, and site-specific views.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a screening provider. It’s an AI app builder that builds software for you.
You describe the app you need in your own words, and Kliv builds it: the data, states, file access rules, reminders, dashboards, and views for each role. What you get is a real app that’s yours. You can run it on your own domain, connect it to the tools you already use, and keep changing it by asking for changes. It isn’t a spreadsheet template.
On this page, that app is a background check and verification tracker. Kliv builds all kinds of web apps; this is one built around consent, status, renewals, and restricted records.
Why build your own verification tracker?
A screening provider can run the check. The operational problem is everything around it: who consented, who submitted, which result arrived, who may read it, when clearance expires, and which site is about to schedule someone who is not ready.
Kliv builds the desk around your screening policy. The pipeline has real states, sensitive files have access rules, renewal reminders run on dates, and each coordinator sees the people they are allowed to manage.
What a mentor file holds
Everything hangs off the person record, and each rule is enforced by the app.
Mentor record
Identity, sites, match history, and the current clearance-through date sit on the mentor’s file.
Clearance pipeline
Invited, consented, submitted, received, decided, and cleared are real states. Each transition records who made it and when.
Consents and results
Consent PDFs and result letters live in the file store with their own access rules. The screening role can read them; site coordinators see status and dates, not contents.
Renewal clock
Every clearance carries an expiry date. Recheck waves and reminder emails come from that date instead of a spreadsheet scan.
References and training
Reference calls, safeguarding training, and refresher dates can ride the same file and count toward readiness.
Built for sensitive status work
Site-ready lists
A district question such as “show me everyone cleared at Lincoln Middle, with dates” becomes a filter that includes its timestamps.
Renewal reminders
Scheduled reminders can go to mentors at 60, 30, and 7 days before clearance lapses, with stragglers on a Monday staff email.
Site walls
Each school coordinator sees their own site’s mentors and nothing wider. The district-wide view belongs to the compliance desk.
Review queue
A flagged result can route to a two-person review with restricted notes. The decision is recorded with reason and date.
An example: Odalys’s mentoring nonprofit
Here’s how one organization might use it. It’s only an example — you would describe your own provider, states, files, renewal rules, and roles.
Mentors move through clear states
Odalys invites a new mentor, receives consent, submits the check to the provider, records the result, and marks the mentor cleared. No one is treated as “almost cleared.”
Sensitive papers stay restricted
The result letter is visible to the screening role only. A school coordinator can see the mentor’s status and clearance date, not the contents of the result.
Renewals start before expiry
A mentor due for renewal gets reminders 60, 30, and 7 days before the two-year clearance expires. Odalys sees remaining stragglers in her Monday email.
Site coordinators see their own lists
Lincoln Middle’s coordinator can see mentors assigned to Lincoln and whether each is cleared. They cannot browse the district-wide screening desk.
Expired clearance changes access
If a clearance expires mid-season, the mentor drops off the site’s cleared list on that date. The history remains readable to the roles allowed to see it.
Describe what you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Include states, files, roles, renewal windows, reminders, and provider boundaries. Here are three to build on:
Volunteer screening desk
Clearance states, restricted files, renewals, and site views.
“Build a volunteer screening tracker for our youth mentoring nonprofit. Mentors move through invited, consented, submitted, received, decided, and cleared. Consent files and result letters are restricted to the screening role, renewals happen every two years with reminders at 60, 30, and 7 days, and each school coordinator sees only their site’s mentors.”
Caregiver credential board
Licenses, CPR, TB tests, background checks, and readiness.
“Build a credential tracker for our home-care staff. Track license expiry, CPR certification, TB test, and background check for each caregiver, show who is field-ready today, send reminders before each expiry, and restrict sensitive result files to compliance managers.”
Vendor verification log
Insurance, tax forms, safety certs, and site access.
“Build an internal vendor verification log. Each contractor has an insurance certificate, W-9, and safety certification with expiry dates. Site access turns off when any required document lapses, and site managers can see only vendors approved for their location.”
Around the check, not instead of it
Kliv does not run background checks. Your screening provider runs checks, and your people make decisions. Kliv tracks the process around the check: consent, submission, results, renewal dates, access rules, and readiness.
Result letters are files with access rules, so sensitivity is enforced rather than left to memory. Status changes are stamped rows, so the program’s history can be read later by name, date, and decision.
Because the tracker is your own app, local rules can be part of it: an extra reference at one site, a returning mentor whose gap year resets the clock, or a two-person review for flagged results. Software with rules this local has the wider case.
Common questions
What exactly is Kliv?
Kliv is an AI app builder that creates custom web apps from a description. For background checks, it builds the tracker around consent, submissions, results, renewals, role access, and site views.
Do I get a real app, or a template?
A real app. Kliv builds the database, states, file rules, reminders, and dashboards for your process. It is not a spreadsheet template.
Can I change it after it’s built?
Yes. You can ask for changes later, such as adding a state, changing reminder timing, adding a role, or adding a document requirement.
Does Kliv actually run the background check?
No. Your screening provider runs checks, and your people make decisions. The app tracks consent, submission, results, renewals, and access around that process.
Who can read a result letter?
Only the roles you name. The file carries its own access rule, so site coordinators can work from status and dates without reading sensitive contents.
What happens when clearance expires mid-season?
The status can change on the expiry date, the person can drop off cleared lists, and reminders can already have gone out weeks earlier.
Can mentors see their own file?
They can see a status page showing where they are in the process, what is missing, and when renewal is due, without seeing anyone else’s records.
Can each site coordinator see only their own people?
Yes. Views can be scoped by site, so a school coordinator sees their school’s mentors while compliance sees the wider program.
Can it track training and references too?
Yes. References, safeguarding training, refreshers, and other readiness requirements can be part of the same person file.
Can it send renewal reminders automatically?
Yes. Scheduled reminders can go out at the intervals you choose, such as 60, 30, and 7 days before expiry.
Can I use my own domain?
Yes. Staff, coordinators, and mentors can use the tracker on your own domain.
Can I move off Kliv later?
Yes. The code syncs to your own Git repository, so leaving is a git pull rather than a rebuild.
