A small inn does not always need the same system as a hotel chain. A 16-room island inn may care about ferry arrivals, July rates, room quirks, breakfast counts, a changeover board, and keeping revenue visible only to owners.

Six records carry the operating day.
Each booking is a dated interval on a room. Two parties cannot hold room 7 for the same night because the conflict is refused when the booking is written.
May shoulder, July peak, and winter weekend rates are dated price windows. You set them ahead of time, and checkout uses the right rate on the right date.
Checkouts, arrivals, dirty rooms, clean rooms, and inspected rooms all move on one board staff can update from phones.
Tomorrow’s breakfast count and ferry arrival times can assemble into a 06:00 morning sheet.
Returning guests are records with stay history and preferences, such as the couple who take room 12 every July and want the extra pillow.
Summer staff can see today’s board and arrivals. Rates, history, and revenue can stay owner-only, enforced by access rules.
Here’s how one inn might use a hotel management system built with Kliv. It’s only an example — you would describe your own rooms, seasons, payment rules, and staff roles.
At 06:00, Karin gets nine departures, eleven arrivals, 26 breakfasts, and the first ferry time in one email.
At 10:00, rooms move to cleaning. Staff mark rooms clean and inspected from phones while Karin watches the board from the kitchen.
A guest books room 4 for next weekend and pays through Karin’s Stripe account. The calendar blocks those dates as soon as the payment clears.
At 15:10, the desk sees who arrived on the first ferry, which rooms are inspected, and that room 12’s regular guests need the extra pillow.
A Sunday arrival cancels. The cancellation policy calculates what is allowed, and money moves only after an owner approves it.
At 22:00, occupancy and takings land where owners can read them. Summer staff only needed the board and arrivals.

Double-bookings are refused at the data layer. A booking is an exclusive interval on a room, so two simultaneous attempts for the same nights cannot both succeed.
Seasons are dated price windows. July rates, winter weekend rates, and next year’s increase can be entered ahead of time and trusted when checkout runs. Direct bookings can use your own Stripe account and your confirmation email template.
Roles are access rules. Summer staff can read the board and arrivals. Rate history and revenue can return nothing for their accounts.
