Build a medical practice management system
Kliv is an AI app builder. Describe the medical practice management system you need — the records, screens, rules, notifications, privacy, and edge cases — and it builds the app around them.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a medical practice management system product you configure — it’s an AI app builder that builds software for you.
You describe what you need in plain words, and Kliv builds the real app: the data, the logic, the screens, and the admin tools. You own it, run it on your own accounts, and change it later by asking for changes. It isn’t a template.
On this page, that app is medical practice management system. Kliv builds all kinds of web apps; this is one example.
Why build your own medical practice management system?
A medical practice management system has details a generic product often misses. This kind of app includes concrete records, schedules, permissions, privacy boundaries, approvals, and edge cases that matter in daily work.
Kliv builds around those details. You describe the workflow in plain language, and the app keeps the records and rules in one place instead of spreading them across templates, spreadsheets, and manual follow-up.
What the system knows
The app is built from records with clear rules. These are the main pieces the app can keep.
Providers & templates
Each clinician’s week is a template — clinic blocks, procedure slots, the Thursday new-patient rule. Booking can only offer what the template allows, so the calendar polices itself.
Appointments & reminders
A visit carries its type, room, and provider. Reminder emails go out on schedule, and a no-show becomes a recorded fact that feeds the rebooking list instead of a shrug.
The recall list
Every patient due for a follow-up sits on a dated list that depends on no one’s memory. Recalls fire as scheduled emails and drop off the list the moment the booking is made.
Referrals, tracked to the reply
An outgoing referral is a record with a status. Until the specialist’s letter comes back, it stays open on the board — visible, aging, and impossible to quietly lose.
Roles & the row
Front desk sees schedules; clinicians see their patients; the bookkeeper sees invoices and nothing clinical. Access is scoped at the row, per role — the boundaries are yours to draw.
An example: Rosa’s family practice
Here’s how one business might use it. It’s only an example — you would describe your own provider rules, recalls, referrals, roles, and reports.
A patient books online from the slots
A patient books online from the slots Dr. Halvorsen’s template actually offers. Nothing to confirm, nothing to transcribe — the booking is already in the right place.
The reminder email goes out on schedule
The reminder email goes out on schedule and the patient confirms from their phone. The no-show that statistics predicted never happens.
Room assigned, visit note written, follow-up ordered
Room assigned, visit note written, follow-up ordered. The order is what creates the recall — no separate list to remember to update.
A referral to the orthopedic clinic opens
A referral to the orthopedic clinic opens with status “sent” and joins the open board, where it will age visibly until the reply arrives.
The follow-up surfaces on the recall list
The follow-up surfaces on the recall list on its date and the email goes out by itself. The patient books; the entry retires.
No-show rates by provider, referrals open past
No-show rates by provider, referrals open past thirty days, recall conversion — read straight from the rows the quarter ran on, not reconstructed from exports.
Describe what you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Include amounts where relevant, names, dates, roles, approval rules, privacy rules, notifications, and edge cases.
Family practice scheduler
Templates, booking, reminders, recalls.
“Build a practice management system for a three-physician family practice with per-provider schedule templates, online booking, reminder emails, and a recall list for follow-ups. Include exact amounts where relevant, roles, terms, approval steps, notifications, privacy rules, and edge cases for the first version.”
Referral tracking board
Every referral visible until the reply closes it.
“Build a referral tracking board where every outgoing referral has a status, replies overdue by four weeks are flagged in a weekly email, and the returning letter closes the loop. Include exact amounts where relevant, roles, terms, approval steps, notifications, privacy rules, and edge cases for the first version.”
Two-site clinic ops
Shared roster, per-site rooms and schedules.
“Build a clinic operations app for two locations with a shared patient roster, per-site rooms and schedules, and role-based access for front desk, nurses, and clinicians. Include exact amounts where relevant, roles, terms, approval steps, notifications, privacy rules, and edge cases for the first version.”
How it comes together
Access is a database rule, not a policy memo. Row-level security scopes every record to the roles you name, so the bookkeeper’s login structurally lacks the clinical view rather than merely hiding it behind a menu.
The recall engine is a schedule. Server-side functions run on a cron you set: surface today’s due recalls, send the reminders, flag the referrals that have gone quiet. The practice’s memory stops living in anyone’s head.
The staff handbook answers back. Upload the practice’s own procedures — the phone triage script, the vaccine fridge protocol, the billing-code cheat sheet — into a knowledge base, and an agent inside the app answers staff questions from those documents. It advises on your procedures, never on medicine, and every conversation is kept as a transcript in your database.
The schema follows the practice. When you add a nurse-led clinic or start tracking equipment sterilization, you describe the change in conversation and the database migration is managed for you — the system grows the way the practice does.
Practice operations rarely stop at scheduling. Internal tools on Kliv covers the inventory counts, the task boards, and everything else a clinic ends up running on.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe the medical practice management system you need, and it builds a real app with the data, screens, and rules for your case.
Do I get a real app, or a template?
A real app. Kliv builds it around your specific workflow, not as a theme you fill in.
Can I change it after it’s built?
Yes. Ask for changes in plain words, and Kliv updates the app without making you start over.
Do I need a separate CMS or tool?
No. The app is its own admin for the records, text, and workflows you describe.
Does this give medical advice?
No. This page is about operations and document-grounded logistics. Clinical decisions stay with the right people.
Will pages show up in search?
Yes. Kliv pages are built as readable pages for crawlers and AI assistants.
Can I move off Kliv later?
Yes. Kliv apps can sync code to your own Git repository, so leaving is a code pull rather than a rebuild.
Who can see patient records?
Whoever your roles say — and only them. Every record is scoped at the row, so a front-desk login sees schedules while clinical notes structurally belong to clinicians. Kliv provides the enforcement; your practice sets the policy and remains responsible for its own regulatory obligations.
Can patients book their own appointments?
Yes. The public booking page offers only what each provider’s template allows, and patients sign in with email and password, Google, or a passkey. Bad slots can’t be picked because they’re never offered.
What happens with no-shows and cancellations?
Both are recorded facts, not blank spaces in a calendar. Cancellations release the slot and feed a rebooking list; no-show patterns show up on the dashboard by provider, so the reminder cadence can be tuned where it’s actually failing.
Can we change the workflow after we’ve started?
That’s the point of owning it. New visit types, an extra room, a different recall interval — describe the change and the app and its schema are updated together, with nothing reaching staff until you publish.
