The records a cohort program needs.
Each cohort stores start date, price, roster, and seat cap. When seat twenty sells, checkout for the next seat closes.
Modules unlock by week number from the cohort start date, not from each member’s purchase date. Everyone gets week four at the same time.
Group call recordings live in the file store with access for that cohort and, if you choose, alumni.
Threads, wins, and check-ins are scoped to the roster. Members see their own cohort room, not every room.
Graduation can become a paid alumni tier. Members keep selected recordings and get a cross-cohort lounge while the membership is active.
Seats can be paid in full or through a payment plan. Charges, receipts, refunds, and failed payments stay on the member record.
Here’s how one coaching business might use it. It’s only an example — you would describe your own cohort size, price, curriculum, calls, rooms, and alumni rules.
Nadia opens 20 seats at $1,800, with an option for three $650 payments. An early-bird price ends on the date she sets, and the 21st buyer cannot check out.
On the start date, the room opens, module one appears, and the welcome email goes out on Nadia’s template. Week two stays locked.
A member misses Thursday’s call. The recording is in the cohort library that evening, and the related discussion stays in the cohort room.
In week seven, a monthly payment fails. Retries and recovery emails run during the grace period before access changes.
At week twelve, members who opt in move to the $29 monthly alumni membership. They keep their cohort recordings and enter the alumni lounge.
A January cohort gets a new roster, room, and calendar. Last year’s room and recordings stay available to alumni without mixing the groups.
