Website Building
Build a document management system
Kliv is an AI app builder. Describe the document management system you need — project files, review states, access rules, semantic search, uploads, and expiry reminders — and it builds it.
Just enter your idea into the text box and AI will build it for you
What is Kliv?
Kliv isn’t a shared drive product or a fixed DMS package — it’s an AI app builder that builds software for you.
You describe the app you need in plain words, and Kliv builds it: the records, file storage, access rules, search, workflows, reminders, and screens. You own the result, run it on your own accounts, and keep changing it later by asking for changes. It isn’t a template with folders added.
On this page, that app is a document management system. Kliv builds all kinds of web apps; this is one for teams whose documents need status, access, and search.
Why build your own document management system?
A shared drive can hold files, but it does not know much about them. It often cannot tell who reviewed a report, which version a client received, who may read a fee letter, or where the answer sits inside a 34-page PDF.
Kliv builds the archive as a database with files attached. Every document can know its project, status, readers, version, expiry date, and contents.
What the archive holds
These are the records a consultancy-style document system can run on.
Projects and files
Each project can show the documents whose rows carry that project. Team access can follow the project instead of a maze of folder permissions.
Draft, reviewed, issued
A report can move from draft to reviewed to issued, with each transition recorded by author and time. The issued PDF a client received remains separate from the working draft.
Access per document
A subcontractor can read lab results while a fee letter stays partner-only. The file store checks the access rule on every request.
Search that reads the pages
Documents can be semantically indexed, so a question about groundwater at a gravel pit can find the relevant paragraph, not just a matching filename.
The archive’s agent
An agent grounded in your own corpus can answer with the document and passage it used, and each question and answer can be filed like other records.
The intake ramp
Field photos and signed permits can upload from a phone at the site and land on the right project with a status, instead of arriving as unexplained image files.
An example: Rowan Environmental’s archive
Here’s how one business might use it. It’s only an example — you would describe your own projects, statuses, access rules, search needs, and reminders.
Field files land on the project
A consultant uploads photos and notes from a phone. They land on the site assessment project and are ready for the draft that afternoon.
Review is recorded on the document
The draft moves into review. The senior consultant’s sign-off is a state transition with author and time, not a loose email.
The issued report is frozen
The final report is shared with the client organization. The client sees that project and that report, while other projects remain closed.
Search finds the old answer
Next spring, the municipality asks about drainage. Semantic search finds the paragraph in the issued report and the older studies that support it.
The paper trail is queryable
Three years later, Rowan can see who issued what, when, and to whom without rebuilding the answer from mailboxes.
Describe the archive you want to build
Kliv builds from your description, so the more detail you give, the closer the first version. Include document types, states, access, search, uploads, reminders, and export needs.
Consultancy document hub
Project files, review states, and client access.
“Build a document management system for our environmental consultancy. Organize files by project, support draft, reviewed, and issued states with author and timestamp, let clients see issued reports only, search inside PDFs semantically, and remind us 60 days before permits expire.”
Manufacturing spec vault
Manuals, data sheets, certificates, and expiry reminders.
“Build a document system for our factory. Store machine manuals, safety data sheets, and calibration certificates; set expiry dates on certificates; restrict documents by production line; and email the maintenance lead 60 days before a certificate expires.”
Grant paperwork archive
Applications, board-only files, and award history.
“Build a document archive for our foundation. Keep application files per grantee, make board folders visible only to board members, preserve every award letter as an issued document, and let staff search the full history by topic and grantee.”
What makes it more than a drive
Rules live on the row. Row-level security can scope each document to its project and readers, and the file store can re-check the rule on every request. A forwarded link opens nothing for the wrong person.
Expiry is a schedule. Permits and certificates can carry dates, and a weekly scheduled job can email your team 60 days before something lapses.
The archive is yours to leave with. Documents can export as files, metadata is rows in your database, and the app’s code can sit in your own Git repo.
Document systems often grow into time tracking, budgets, and staffing. Kliv for internal tools covers that larger area.
Common questions
What exactly is Kliv?
Kliv is an AI app builder. You describe the document system you need, it builds the app, and you own the result.
Do I get a real app, or a template?
A real app. Kliv builds the database, file storage, access rules, workflows, search, and screens for your documents.
Can I change it after it’s built?
Yes. You can add document states, access roles, search fields, reminders, project types, and reports later.
Can it search inside documents?
Yes. Documents can be semantically indexed, so search can match meaning inside PDFs and other files, not only filenames.
How does versioning work?
An issued revision can be its own frozen row with its file. The working draft is a separate document, and state changes can be recorded with author and time.
Can outsiders see some documents and not others?
Yes. Access can be granted per person or organization, on the document. The file store checks the rule on every request.
Can staff upload from a phone?
Yes. Field photos, permits, and notes can upload from a phone and land on the right project with a status.
Can it remind us before permits expire?
Yes. Permits and certificates can carry expiry dates, and scheduled jobs can email reminders before they lapse.
Do I need a separate CMS?
No. The app is its own admin. Staff edit records, upload files, change states, and publish from inside the app.
Can I use my own domain?
Yes. The app can run on your own domain.
Can I move off Kliv later?
Yes. Files export, metadata is rows, and the code syncs to your own Git repository.
