Many conference systems are built for very large venues. A 340-submission regional conference may need different rules: a rebuttal round, field-specific conflicts, and a committee workflow that the large system does not fit.

Five core records run the cycle and keep the walls in place.
Each paper has a PDF, abstract, and number. Author metadata can live separately so reviewers have no path to it.
Reviewers have expertise tags, load caps, and conflict lists. A conflicted paper can be hidden before bidding.
Each paper can require three readers, balanced against load caps and conflict rules. Late reviews show on the chair dashboard.
Scores, author comments, and confidential chair comments can live on one review record with different audiences.
Recommend, approve, notify is a state path with a name and timestamp attached to every step.
Here’s how one committee might use it. It’s only an example — you would describe your own tracks, conflicts, review rounds, deadlines, and decision rules.
At the deadline, the portal stops accepting uploads. Three hundred forty manuscripts are already separated from author metadata.
Reviewers see anonymized papers, and conflicted papers are already filtered out. Forbidden pairings cannot be saved.
Each paper needs three reviews. Late ones trigger scheduled reminder emails in the chair’s wording.
Discussion threads sit on each paper, visible to the committee and hidden from authors until decisions are ready.
Track chairs recommend decisions and the program chair approves. Every changed verdict keeps a timestamp and name.

Blindness is an access rule. The author table and manuscript table meet only in views the author and chair roles can open. A reviewer session has no route to author names through the screen, API, exports, or search.
Versions keep their trail. Submissions, revisions, and camera-ready files can live in the file store under the paper’s access rule.
Reminders run on schedule. Deadline notices, late-review nudges, and decision batches can use scheduled jobs and committee wording.
Registration can live in the portal if needed. If the venue charges, accepted authors can pay the $215 registration through checkout on your own Stripe account before a slot confirms.
